Hixson Consultants, Inc. (HCI) is seeking an experienced, detail-oriented, and highly organized Accountant to join our team. The ideal candidate will have a minimum of five years of accounting experience, including at least three years of experience with QuickBooks Desktop, payroll administration, or comparable accounting responsibilities.

This position requires a dependable professional with a strong background in financial management, payroll processing, multi-state regulatory compliance, and general business operations. The successful candidate must demonstrate exceptional attention to detail, excellent communication skills, sound judgment, and the ability to work independently with minimal supervision.

The Accountant will maintain accurate financial records, manage accounting and payroll functions, coordinate regulatory filings, and provide administrative support to management. The position requires a high level of confidentiality, accountability, accuracy, and organizational efficiency.

Key Responsibilities

Accounting & Financial Management

· Manage daily accounting operations using QuickBooks Desktop, ensuring accurate and timely financial records.

· Maintain general ledger accounts, reconcile bank and credit card statements, and manage accounts payable and receivable.

· Complete monthly, quarterly, and annual accounting procedures, including reconciliations, financial reporting, and closing the books.

· Prepare financial statements, management reports, and other accounting documentation as required.

· Maintain accurate project-based accounting records, including job costing, expense allocation, and project financial tracking.

· Prepare and process client invoices using multiple billing formats and project-specific invoicing requirements.

· Coordinate with the company’s tax professional to prepare year-end financial records, reports, and supporting tax documentation.

· Monitor financial transactions for accuracy and consistency with established accounting procedures.

Payroll & Employee Administration

· Administer payroll using QuickBooks Desktop, ensuring accurate and timely processing.

· Maintain employee timekeeping records through TSheets (QuickBooks Time).

· Coordinate new-hire payroll setup, employee documentation, and required reporting.

· Prepare and process federal, state, and local payroll tax filings.

· Prepare quarterly and annual payroll reports, including Forms W-2 and applicable Forms 1099.

· Maintain accurate payroll records and monitor compliance with applicable employment and tax reporting requirements.

· Identify and resolve payroll discrepancies promptly and professionally.

Multi-State Tax & Regulatory Compliance

· Coordinate compliance with payroll and business tax requirements across multiple states.

· Maintain workers’ compensation records, including state-specific classifications, payroll reporting, and annual audits.

· Track, coordinate, and maintain business licenses, registrations, and renewals across multiple jurisdictions.

· Prepare or coordinate applicable franchise tax filings and related state business reporting.

· Maintain an organized compliance calendar to ensure required filings, renewals, and reporting deadlines are met.

· Coordinate with external tax professionals, insurance representatives, and regulatory agencies as needed.

Office & Administrative Support

· Provide accounting-related administrative support to company management.

· Maintain accurate and organized electronic and physical financial records.

· Prepare reports, spreadsheets, correspondence, and other business documentation.

· Communicate professionally with employees, clients, vendors, insurance representatives, and outside accounting professionals.

· Assist in developing and improving accounting procedures, internal controls, and administrative processes.

· Independently identify and address accounting discrepancies, pending deadlines, and administrative issues.

· Perform other accounting and administrative duties as assigned.

Required Qualifications

· Minimum of five (5) years of professional accounting experience.

· Minimum of three (3) years of experience with QuickBooks Desktop, payroll administration, or comparable accounting responsibilities.

· Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.

· Strong working knowledge of standard accounting practices, financial reporting, and account reconciliation.

· Experience with payroll processing, payroll tax filings, and year-end reporting.

· Familiarity with job costing and project-based accounting.

· Excellent organizational skills and exceptional attention to detail.

· Strong written and verbal communication skills.

· Ability to work independently with minimal supervision while managing multiple responsibilities and deadlines.

· Demonstrated ability to identify problems, exercise sound judgment, and implement appropriate solutions.

· Ability to consistently meet payroll, accounting, tax, and regulatory deadlines.

· Strong commitment to maintaining confidentiality of financial, personnel, and proprietary company information.

· Professional, dependable, courteous, and positive attitude.

· Ability to work effectively both independently and as part of a team.

· Willingness to undergo a background check consistent with applicable law.

· Ability to complete required employment eligibility verification, including E-Verify.

Preferred Qualifications

· Previous accounting experience within a professional consulting, engineering, architectural, or construction-related organization.

· Experience supporting business operations across multiple states.

· Proficiency with QuickBooks Desktop Payroll and QuickBooks Time (formerly TSheets).

· Experience with workers’ compensation audits, business license renewals, and franchise taxes.

· Advanced Microsoft Excel skills, including financial analysis, spreadsheets, and report preparation.

· Experience managing accounting functions independently and coordinating directly with company management and external tax professionals.

· Experience with project-based invoicing and job cost reporting.
