Position Overview

We are seeking a detail-oriented and patient-focused professional to support the front end of a busy medical practice. In this role, you will be responsible for gathering, organizing, and verifying patient information, helping ensure a smooth and efficient intake process, and contributing to a positive experience for patients and care teams alike.

Key Responsibilities

• Serve as the first point of contact for patients completing the intake process.
• Collect, review, and enter patient demographic, insurance, and medical information accurately.
• Verify forms, documents, and records for completeness and consistency.
• Coordinate with clinical and administrative staff to support patient flow.
• Assist with scheduling, appointment preparation, and follow-up communications as needed.
• Perform administrative task in the EMR to maintain the patient's charge
• Maintain confidentiality and comply with all applicable privacy and security standards.
• Respond to patient questions with professionalism, empathy, and clear communication.
• Help resolve intake-related issues and escalate concerns when appropriate.
• Provide instructions on navigating the practice website, portal and patient apps.
• Maintain organized files, records, and documentation systems.
• Support additional administrative tasks to help the practice operate efficiently.

Qualifications

• High school diploma or equivalent required; additional education in healthcare administration or a related field is preferred.
• Prior experience in a medical office, healthcare setting, or customer service role is strongly preferred.
• Strong attention to detail and accuracy in data entry and documentation.
• Excellent interpersonal and communication skills.
• Ability to manage multiple tasks in a fast-paced environment.
• Proficiency with computer systems, electronic medical records, and standard office software.
• Comfortable working collaboratively with patients, providers, and administrative teams.
• Understanding of confidentiality practices and professional boundaries.

Preferred Skills

• Experience with patient intake, registration, or front desk operations.
• Knowledge of insurance verification and basic healthcare terminology.
• Ability to stay organized while handling frequent interruptions.
• Strong problem-solving skills and a customer service mindset.
