Job Summary
We are seeking a detail-oriented and organized Bookkeeper to support daily accounting and payroll operations. Working closely with the Chief Financial Officer (CFO) and the Assistant Controller, this position is responsible for maintaining accurate financial records, managing accounts payable and receivable, processing payroll, reconciling accounts, and assisting with financial reporting and month-end and year-end closing procedures. The ideal candidate has strong accounting knowledge, excellent organizational skills, and the ability to manage multiple priorities while maintaining accuracy and confidentiality.

Key Responsibilities

General Accounting and Financial Reporting

• Maintain accurate financial records in QuickBooks, including transactions, journal entries, and general ledger activity.
• Reconcile bank accounts, credit cards, and intercompany accounts; investigate and resolve discrepancies.
• Assist with month-end and year-end closing procedures and the preparation of financial statements.
• Maintain supporting documentation and assist with audits, tax preparation, and other financial reporting requirements.
• Review and analyze multiple credit card statements, verify and categorize transactions, and record designated expenses in Excel worksheets.

Accounts Payable and Receivable

• Process vendor invoices and payments, reconcile vendor statements, and resolve discrepancies.
• Prepare customer invoices as payments are received and record payments and deposits in the accounting system.
• Respond to customer and vendor inquiries regarding billing and payments.
• Monitor vendor invoices for upcoming due dates and ensure payments are processed on time.

Payroll Administration

• Process payroll accurately and on schedule, including reviewing timesheets, hours, deductions, and adjustments.
• Maintain confidential payroll records and verify reimbursements and compensation changes.

Additional Duties

• Perform other duties, responsibilities, and special projects as assigned by management, as business needs require.

Qualifications

• Three or more years of bookkeeping or accounting experience preferred.
• Knowledge of generally accepted accounting principles (GAAP) and standard accounting practices.
• Hands-on experience with QuickBooks is required.
• Experience with accounts payable, accounts receivable, payroll processing, bank reconciliations, and general ledger maintenance.
• Proficiency in Microsoft Excel.
• Strong mathematical, analytical, and problem-solving skills, with excellent attention to detail.
• Excellent organizational, time management, and communication skills.
• Ability to work independently, manage competing priorities, meet deadlines, and maintain confidentiality.
