Specialist II, IRM Scheduling & Purchasing The Opportunity: As a key member of the dynamic Integrated Research Management team, a member of the Integrated Research Hub, you will be actively managing and improving contracting processes from service request to service delivered in 3 key areas – CRO outsourcing, Academic Collaboration and External Speakers. This position will partner closely with the senior leaders in IRM and across multiple business functions across the organization. The ideal candidate is detail-oriented and able to follow instructions to the letter. This person can independently manage urgent requests and may at times need to prioritize competing priorities in a timely manner. This candidate can professionally interact across levels within the organization and be perceptive of their needs and motivations. With the growing needs of the organization, this candidate will independently and proactively look for opportunities to improve and simplify these processes. Overall, this is a person with a sunny disposition and one that can make things work smoothly with minimal effort. Contracting Management Be the key point person to manage purchasing system processes for several diverse business functions: Manage and track purchasing activities with business and G&A functions and within Revolution Medicines. Execute purchasing agreement reviews and approvals including quotes, statements of work, work orders, etc. across teams. Create PO and liaise between business and G&A functions to address invoicing questions. Archive and maintain document repositories as relevant per process requirements. Build and maintain a collaborative rapport with business users and process owners to address the needs of both parties in the execution of purchasing system activities in a proactive and timely manner. Work across functions to improve purchasing system processes: aid in identifying common issues, collaborate with relevant parties to recommend solutions and add these contributions to user training guides to share best practices. Provide analytical dashboard on a regular basis on the overall speed, quality, and costs of services provided. Required Skills, Experience and Education: 2-4 years of experience in a cross-functional coordination or administrative operations role. Highly organized, detail-minded and results-oriented. Strong interpersonal and communication skills needed for effective cross-functional coordination in both lateral and vertical directions. Able to independently manage competing and at times urgent priorities; showing good understanding of stakeholder needs and implications of requests on business outcomes. Innovative, proactive and collaborative team-player with high energy to keep pace with our growing and evolving company environment. Ability to independently prioritize / multi-task projects and demands effectively. Proficiency to independently and quickly assess problems/situations, provide effective resolution/solutions and raise and manage risks and discrepancies where needed with minimal supervision. Exhibit impeccable integrity and sound judgment with sensitive information. Advanced proficiency with MS Outlook Calendar and Zoom. Proficient with MS Office software (Excel, Word, PowerPoint), Smartsheet, Egnyte (or similar) and Confluence (or similar).
