Tourism & Event Center Coordinator

County of Sandoval

Overview General Purpose: Under general supervision, provides financial oversight, planning, placement and monitoring of the County’s branding, tourism and marketing strategies as they relate to the County’s Tourism and Event Center, and as required by the NM True Brand Campaign; facilitates relationships with hotels/restaurants and attractions for Sandoval County; directs and coordinates event, staffing and advance planning of the site; develops policies and procedures, facility management guidelines, and marketing plans for consideration. Works to market Sandoval County to stimulate economic development and promote tourism, and supports these efforts by securing and administering grant funding. Reports to the Director of Economic Development and meets quarterly with the County Lodgers Tax Board and Tourism Alliance Committees. Responsibilities Provide day-to-day direction to assigned staff; assign tasks and coordinate schedules, projects and programs; offer feedback and recommendations to staff. Execute marketing strategies and lead efforts to generate clients/leads for the Event Center through in-house sales, presentations, tours, and sales calls to potential groups/events managers to increase Center utilization. Develop marketing methods to ensure the Event Center remains competitive and optimizes utilization. Coordinate with County Public Works on maintenance needs and ensure the Event Center property is properly maintained. Provide advisory support in creative message development and monitor the flow of new web content; coordinate with the web maintenance provider on website effectiveness (bi-monthly reports). Oversee website design, content, and printed collaterals for internal and external marketing. Plan research-based advertising strategies for current and subsequent years to increase leisure travel market share. Develop relationships with national, international and regional tourism publications, writers, tour operators and travel agents. Design, develop and conduct familiarization tours of Sandoval County for media, event planning, tour operators and travel agents. Prepare press kits, build campaigns, develop stories highlighting the Event Center and Sandoval County attractions; coordinate distribution with the County Public Information Officer. Provide educational programs for hospitality sector personnel on Sandoval County attractions/events. Gather data and prepare annual tourism situational analyses for relevant boards and committees; deliver presentations to local and regional civic and governmental organizations on Tourism. Represent the County in regional planning sessions and serve on local committees to enhance tourism and economic development. Attend meetings, seminars, conventions, and workshops to stay informed about changes in the tourism industry and to exchange information. Coordinate special events as needed. Write and administer grants; supervise contracted staff and grant documents, finances and files. Review, monitor and maintain department financial records and budgets; reconcile Event Center revenue, expenses, funding, and related items; provide reports for departmental budgeting. Maintain records, obtain estimates per procurement regulations, and perform contract management for Event Center functions; oversee tours, staff schedules, inspections, leases, and related documents for rental of the Event Center. Provide administrative and technical support including preparing letters, resolutions, agenda items and agreements for the Director. Minimum Qualifications Education and Experience: Bachelor’s Degree in Tourism, Hospitality, Marketing, Economic Development, Business Administration, or related field and four years of experience in managing/coordinating events in a convention/conference center environment; or an equivalent combination of education and experience. Experience with successful grant writing, compliance and administration is highly desirable. Licenses/Certifications: Valid New Mexico driver’s license or ability to obtain one within 30 days of hire. Additional Requirements: Ability to maintain a valid New Mexico driver’s license. Supervision Position reports to the Director of County Business Development and may supervise lower-level staff. Knowledge and Skills Operational characteristics of a Tourism Office and Event Center; marketing and promotion principles; grant writing; research methods; budgeting and accounting; supervisory practices; public relations and public speaking. Proficiency in modern office procedures and computer applications, including word processing, spreadsheets, and databases.
