Advanced Medical Support Assistant

Summary The VA Northeast Ohio Healthcare System is recruiting for AMSAs at the Akron VA Clinic. The AMSA provides specialized and expert administrative patient support while working collaboratively in an interdisciplinary - coordinated care delivery model within a Primary or Specialty Care team. Performs duties related to scheduling and interfaces with PC and Vista applications and the Federal Electronic Health Record. The AMSA is considered a chief source of patient care and patient flow information. Qualifications United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy English Language Proficiency: Must be proficient in spoken and written English in accordance with VA Handbook 5005 - Part II - Chapter 3 - Section A - paragraph 3.j Experience and Education: (1) Six months experience of clerical, office, customer service, or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position OR - (2) One year above high school OR - (3) Equivalent combination of experience and education are qualifying for entry level for which both education and experience are accepted. May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria) Grade Determinations: GS-06: Candidates at this grade must have one year of experience equivalent to the GS-5 Grade level Examples of this experience include: specialized administrative patient support, working collaboratively in an interdisciplinary coordinated care delivery model, utilization of advanced patient systems, recommendations of changes to existing clinic procedures, coordination with the patient care team, preparation of correspondence, management of follow‑up care systems, and participation in team huddles and meetings to manage and problem‑solve Advanced knowledge: technical healthcare processes including scheduling across interdisciplinary coordinated care delivery, care in the community models, and patient health care portals; policies and procedures associated with interdisciplinary coordinated care delivery, operational activities affecting patient flow, medical terminology due to the technical nature of language utilized by clinic Preferred Criteria: At least 2 years of scheduling patients in a clinical environment Physical Requirements: Primarily sedentary work; occasional walking, standing, bending, kneeling, carrying light items under 15 pounds, reaching above the shoulder; driving an automobile as required; work typically in a standard office meeting or training room environment that is adequately lighted, heated, and ventilated. Duties VA Careers - Medical Support Assistant: Schedules patient appointments and coordinates with the patient care team to review clinic utilization using various reports Maintains effective and efficient communication with the patient interdisciplinary team, VA Medical Centers, and other agencies Communicates with non‑VA medical facilities Facilitates and processes secure messaging with the patient and team Notifies patients of appointments Manages a tracking system for follow‑up care such as return to clinic orders, recall, consults, tests, etc. Sets priorities and deadlines, adjusting the flow and sequencing of work to meet team and patient needs Monitors pre‑appointment requirements to assure readiness for patient visit or procedure (e.g., X‑ray, lab work) Participates and provides input in problem‑solving on operational issues or procedures in team meetings, performing administrative follow‑up actions Participates in and independently follows up on team huddles by sharing information and collaborating with the medical team to assure continuity of care Educates providers about shared patients whose care is received at multiple VAs or in the community and brings this to the attention of the provider Reports backlogs, difficulties in meeting deadlines, uncooperative physicians, or difficulty in securing information from clinicians or the record Maintains confidentiality of information obtained to carry out required duties Communicates with physicians, case managers, and other allied health professional staff using sound interpersonal skills and is constantly aware of sensitive information Works independently, making decisions based on guidelines, precedents, and regulations, performing duties in a manner that requires minimal supervision Work Schedule: Full‑time, Monday‑Friday 8:00 AM‑4:30 PM Telework: Not available; Remote: This is not a remote position Functional Statement #: 91463‑A Relocation/Recruitment Incentives: Not Authorized Permanent Change of Station (PCS): Not Authorized Financial Disclosure Report: Not required #J-18808-Ljbffr
