Dispatch & Shipping Manager Job Summary/Objective:
As the Dispatch and Shipping Manager, you are responsible for managing and ensuring arrivals and deliveries, loading and unloading of flatbed trailers, box trailers, and rail cars go smoothly. It involves being on your feet long periods of times and involves, lifting, moving products, and sometimes making deliveries. It also involves delegating tasks to shipping and truck driver employees, as well as training new hires, requires collaboration with many other positions and departments. This manager relies on experience and judgment to plan and accomplish goals. Some creativity and latitude are expected. This role also has elements of an HR position involving in interviewing, enforcing policies, procedures, federal and state laws, and company safety rules.
Dispatch & Shipping Manager Essential Duties & Responsibilities:
Management:
- Tracks productivity and holds forklift operators accountable to expected production targets based on timeline of tickets that need to go.
- Ensures all employees have received adequate machine-specific safety training prior to operating equipment and their job responsibilities.
- Supervise and train assistant, yard, and truck driver employees to meet company standards.
- Complete performance reviews and when necessary disciplines of all supervised employees.
- Liaison with sales, production, yard, purchasing, and shipping to maximize order fill rate and ensure field operations are not delayed.
- Develop understanding of and competency in using our Spruce POS system.
- Schedule employees to provide appropriate coverage for all activities over an extended workday.
- Monitors drivers' working hours to ensure compliance with federal and state laws and regulations.
- Make sure that the shipping unit adheres to all legal rules and/or company guidelines.
- Communicates to employees and collaborates with other management members as required.
- Identifies, researches, and resolves various problems and opportunities.
- Ensures department complies with established safety standards.
- Other job responsibilities as assigned.
Dispatch:
- Coordinate activities between order entry, order staging and delivery.
- Schedule all activities, including deliveries, to satisfy customers' needs and maximize efficiency.
- Set and maintain high standards of performance, especially accuracy in entering and completing orders.
- Reviews pre-shift machine inspections and addresses machine concerns according to procedure.
- Maintain yard and all equipment in an appropriate manner to:
- Ensure safety and regulatory compliance
- Promote cleanliness and recycling
- Organize yard to minimize operational costs including:
- The time to pick orders
- The time to load orders
- The time to take inventory
- Plan and communicate with yard employees so that productivity does not decline during your off hours.
- Set procedures for order entry, receiving and order fulfillment that will. ensure our computer records are accurate and complete.
- Implements methods to achieve plans and goals of the department and to maintain quality and customer standards/expectations.
- Directs the activity of the department and motivates for maximum productivity.
- Anticipates weather complications along routes and at the drivers' destinations; communicates delays and route changes as necessary with their drivers.
- Inventory of yard every Friday.
- Keep daily inventory adjustments every morning and afternoon according to owner's standards.
- Other job responsibilities as assigned.
Shipping:
- Accommodate customer will-calls and provide exceptional customer service.
- Maintain constant familiarity with stock on hand and status of orders in process.
- Communicate with customers regarding schedule, as needed, to promote customer satisfaction.
- Maintains a clean and safe work environment; consistently checks quality and accuracy of inbound and outbound material; and implements changes to improve current processes.
- Drives a forklift to assist in loading and unloading of trucks and rail cars.
- Drives a jockey truck to assist in moving loaded and empty trailers.
- Review customer paperwork when picking up lumber or trusses.
- Collaborate with Sales Department: scheduling, get customer contact, what we are picking up, dropping off, alternative resolution.
- Collaborate with Designers: truss admin and designers when they are going to have it built to schedule. If repairs are to be made, determine how and when to complete the repairs.
- Collaborate with Estimators with take offs and lumber packages.
- Collaborate with Production on completion date of trusses.
- Other job responsibilities as assigned.
Dispatch & Shipping Manager Required Job Knowledge:
- Must have experience of direct supervision over other employees in a shipping/receiving environment.
- Experience using computer software programs that generate load sheets and delivery tickets from sales orders is required.
- Experience working with Microsoft office suite.
- Experience loading trucks from load sheets and then producing delivery tickets from those load sheets.
- Knowledge of lumber math, lumber grades, and species.
- Must have minimum 2-year experience with rail operations (inbound).
- Forklift operator experience required. Successfully complete forklift operator training.
- Thorough understanding of dispatch and shipping industry.
