The Opportunity

• Owns daily operations of the practice: opening and closing procedures, staff coverage, patient flow, and end-of-day reconciliation.
• Leads pre-shift huddles and communicates provider schedules, patient volume expectations, and operational updates to the team.
• Establishes and maintains open, effective communication with all staff, providers, and cross-functional partners.
• Identifies operational problems in real time, resolves what falls within scope, and escalates the rest with a proposed solution to the Clinic Manager and Medical Director.
• Monitors and responds to key throughput metrics (door-to-provider time, cycle time, visits per hour, patient wait time) and adjusts staffing and flow accordingly.
• Maintains a safe patient and work environment; ensures compliance with OSHA, HIPAA, infection control, and practice-specific safety standards.
• Supports front- and back-office functions including patient registration, insurance verification, point-of-service collections, and coverage during breaks or callouts.
• Responds to patient complaints and service concerns; documents complaints and coordinates service recovery with the Clinic Manager and Medical Director
• Manages callouts and coordinates coverage; may cover clinical shifts as needed to maintain safe staffing.
• Maintains staff counseling and performance documentation for clinical team members in coordination with the Clinic Manager and Human Resources.
• Monitors clinical competencies of back-office and front-office staff; identifies gaps and coordinates training.
• Delivers or coordinates clinical education, in-service training, and new-hire orientation.
• Approves timekeeping edits, PTO requests, and staff schedules within delegated authority.
• Tracks staff license, certification, and BLS expirations; ensures renewals are current.
• Participates in interviewing and hiring decisions for clinical and clerical staff.
• Contributes to performance evaluations for direct reports under the direction of the Clinic Manager.
• Supports clinical operations and patient care activities in coordination with the Clinic Manager and Medical Director.
• Ensures clinical staff practice at the top of their licensure and within scope of practice.
• Assists with patient follow-up and care coordination consistent with clinic protocols.
• Monitors patient flow and provides hands-on clinical support when staffing or acuity is required.
• Ensures front-office and back-office functions are covered based on staffing, breaks, and callouts.
• Oversees clinical competency verification, including annual skills checks, new hire competency validation, and remediation plans.
• Coordinates with the Clinic Manager and Medical Director on standing orders, protocol updates, and clinical policy changes.
• Supports acute patient situations by recognizing acuity changes, escalating to providers, and coordinating transfers to higher levels of care when needed.
• Ensures adherence to documentation standards, encounter closure timeliness, and chart quality.
• Monitors point-of-care testing (POCT) quality control logs, CLIA-waived test compliance, reagent inventory, and other compliance related processes
• In partnership with the Clinic Manager, oversees infection control practices, sharps safety, and blood-borne pathogen exposure protocols.
• Coordinates wound care visit workflow: initial assessment, debridement scheduling, dressing change appointments, and follow-up cadence.
• Oversees wound photography protocol, including patient consent, secure storage, electronic medical record (EMR) attachment, and HIPAA compliance.
• Manages advanced wound care product and cellular tissue product (CTP) inventory, cost tracking, and prior authorization workflow.
• Manages compression therapy supplies (multi-layer wraps, total contact casting) and offloading device fitting.
• Coordinates with vascular, podiatry, endocrinology, and infectious disease consultants for complex wound patients.

Required Experience and Competencies

• High school diploma or GED equivalent required.
• Three (3) years of experience in an ambulatory clinical setting (urgent care, wound care, primary care, or specialty clinic) required.
• One (1) year of supervisory experience OR demonstrated informal leadership (front-office lead or clinical lead) required.
• If Medical Assistant, current BLS/CPR certification from the American Heart Association or American Red Cross is required.
• If Medical Assistant, must be in good standing and certification must be from an accredited institution.
• Proficiency with electronic health records and clinical workflow software required.
• Associate or bachelor’s degree in healthcare administration, nursing, business, or related field preferred.
• 5+ years of ambulatory experience with 2+ years of formal supervisory experience preferred.
• Setting-relevant experience: urgent care volume of 30+ patients per day OR wound care experience with CTP and advanced dressing exposure preferred.
• Wound Care Certification (WCC, CWCA, or CWS) — for wound care practices preferred.
• Bilingual (English/Spanish or other language matching the patient panel) preferred.
• Experience with workers' compensation and occupational medicine (for urgent care practices) preferred.
• Leadership & Team Development — Coaches staff to top-of-license practice; provides direct, timely feedback; identifies performance issues early and escalates appropriately.
• Operational Judgment — Makes real-time staffing, flow, and escalation decisions, often with incomplete information.
• Clinical Situational Awareness — Recognizes acuity changes; escalates appropriately; supports staff during acute events without taking over provider decision-making.
• Communication Under Pressure — De-escalates upset patients; delivers difficult feedback to peers and staff; communicates upward clearly and concisely.
• Regulatory & Compliance Fluency — HIPAA, OSHA, CLIA, and practice-specific standards (radiation safety for urgent care; Medicare wound care LCDs for wound clinics).
• Data Literacy — Interprets throughput reports, patient satisfaction scores, and productivity dashboards; identifies trends and proposes corrective actions.
• Technology Proficiency — Skilled with EHR platforms, patient portals, scheduling systems, and standard office/productivity software; capable of coaching others.
• Change Adaptability — Executes new protocols and workflows; brings the team along without becoming a bottleneck.
• Medical Knowledge — Demonstrates working knowledge of medical terminology, patient care standards, and clinical procedures relevant to the practice.
• Organization — Manages multiple concurrent priorities in a fluid environment while maintaining attention to detail.
• Documentation & Billing Fluency — Understanding of clinical documentation standards, billing documents, medical insurance, and Workers' Compensation documentation (where applicable).

Jovive Wound Care – Mission Viejo, California

• Jovive Wound Care has a team of highly-trained specialists with experience to prevent complications and promote faster healing, less scarring, and lasting outcomes.
• Facility hours are M-F 8am-5pm.
• Outpatient wound care treatments include debridement, specialized dressings, compression therapy, negative pressure wound therapy (NPWT), and skin substitutes.
• As a practice entirely owned and led by physicians, our facilities in Loma Linda and Mission Viejo are dedicated to your overall wellness.
