Regional Business Office Manager – California Region

Salary Range: Dependent Upon Experience

Job Summary

Evergreen Healthcare Group is seeking an experienced Regional Business Office Manager to provide leadership, oversight, and support for the business office operations across our California communities. This position partners closely with the Regional Vice President (RVP), Executive Directors, Business Office Managers (BOMs), the Vancouver Service Office (VSO), and the Central Billing Office (CBO) to optimize accounts receivable performance, ensure regulatory compliance, and drive successful revenue cycle management.

The Regional Business Office Manager is responsible for overseeing collection efforts, conducting comprehensive monthly Accounts Receivable (A/R) reviews, mentoring Business Office Managers, and implementing best practices that improve financial performance across the region.

Essential Functions

• Must have experience using PointClickCare (PCC) software.

• Provide leadership and operational oversight for Business Office Managers within the assigned region.

• Schedule, organize, and conduct monthly line-by-line Accounts Receivable (A/R) reviews with the BOM, Executive Director, and Regional Vice President.

• Monitor aging reports and ensure timely follow-up on outstanding balances.

• Develop, implement, and monitor action plans to improve collections and reduce outstanding receivables.

• Mentor, coach, and support Business Office Managers in daily business office operations and revenue cycle best practices.

• Assist communities in researching, understanding, and resolving complex resident account issues.

• Develop and maintain collection procedures specific to the assigned geographic region.

• Serve as the primary liaison between assigned communities, the Central Billing Office (CBO), and the Vancouver Service Office (VSO).

• Monitor Medicaid applications and reimbursement processes to ensure timely completion.

• Coordinate with the Legal Department regarding collection matters requiring outside legal counsel.

• Track and process legal fees associated with collection activities.

• Participate in A/R Roundtable meetings and provide regional performance updates.

• Verify split billing (where applicable) is completed accurately and timely.

• Ensure collection logs are completed accurately and maintained consistently.

• Analyze regional financial trends and identify opportunities to improve cash collections and business office performance.

• Assist with onboarding and training new Business Office Managers as needed.

• Travel throughout the assigned region to support communities as required.

Knowledge, Skills, and Abilities

• Thorough knowledge of skilled nursing facility business office operations and revenue cycle management.

• Strong understanding of Medicare, Medicaid, Managed Care, Private Pay, and insurance billing processes.

• Knowledge of state and federal regulations related to long-term care business office operations.

• Ability to analyze Accounts Receivable data and develop effective collection strategies.

• Strong leadership, coaching, and mentoring skills.

• Excellent organizational, communication, and interpersonal skills.

• Ability to build productive working relationships across multiple communities.

• Demonstrated ability to manage multiple priorities independently.

• Strong computer proficiency, including PointClickCare and Microsoft Office applications.

• Ability to maintain confidentiality and exercise sound judgment.

• Positive attitude with strong problem-solving abilities.

• Ability to adapt to changing priorities while maintaining high performance standards.

• Ability to perform the essential functions of the position with or without reasonable accommodation.

Education, Licensure, and Experience

• Minimum of five (5) years of skilled nursing business office experience required.

• Previous multi-site, regional, or leadership experience strongly preferred.

• Extensive Accounts Receivable and revenue cycle management experience required.

• PointClickCare (PCC) experience required.

• Excellent communication, organizational, and leadership skills.

• Associate's or Bachelor's degree in Business Administration, Healthcare Administration, Accounting, or a related field preferred.
