Job Purpose:
- The Receptionist at JOHNS BYRNE CO will serve as the first point of contact for clients, visitors, and employees, ensuring a welcoming and professional atmosphere. This role is pivotal in managing front desk operations, coordinating communication, and providing administrative support to enhance the efficiency and effectiveness of the office environment.
- Greet and welcome visitors in a courteous and professional manner, directing them to the appropriate person or department.
- Answer, screen, and forward incoming phone calls while providing basic information when needed.
- Maintain the reception area, ensuring it is tidy and presentable with all necessary stationery and material.
- Manage and distribute incoming and outgoing mail and deliveries.
- Coordinate and schedule appointments and meetings as required.
- Assist with administrative tasks such as data entry, filing, and maintaining office supplies inventory.
- Handle inquiries from the public and clients, both in person and over the phone, providing accurate information and assistance.
- Collaborate with other departments to ensure smooth and efficient office operations.
- Uphold company policies and procedures, maintaining confidentiality and security of sensitive information.
- Perform other related duties as assigned to support the overall business operations. Required Education:
- High school diploma or equivalent is required. Required Experience:
- Minimum of 1-2 years of experience in a receptionist or administrative role.
- Experience in a customer-facing position is preferred.
- Familiarity with office management systems and procedures is advantageous. Required Skills and Abilities:
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other office software.
- Ability to handle a multi-line phone system efficiently.
- Exceptional customer service skills with a professional demeanor.
- Attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.
- Flexibility to adapt to changing priorities and handle pressure in a fast-paced environment.
