Director of Property Maintenance

Job Summary Director of Property Maintenance will oversee all aspects of maintenance operations and management for all agency owned and leased properties, including commercial, housing, education centers, residential homes, treatment centers, and general office space. The role ensures all properties are safe, clean, and maintained to a high standard. Qualifications Bachelor's degree or technical/trade certificate/diploma (preferred) 10 years of leadership experience within Facility Management and Multi‑Family property maintenance, including supervision of 45+ employees Thorough understanding of maintenance best practices, safety compliance, HVAC, electrical, and mechanical systems Thorough understanding of inventory control and technology in managing maintenance functions Experience with workplace safety and knowledge of fair housing laws (preferred) Valid driver’s license and reliable transportation Essential Responsibilities Head of the Maintenance department that serves multiple sites Leader for 45+ staff, including maintenance managers, technicians, housekeepers, and administrative personnel Oversee and manage all owned and leased properties relating to Maintenance, Renovation, Safety, Security, and Housekeeping Collaborate with the SVP of Property & Housing Development to assist with renovations, major moves, and new acquisitions Manage and assign service requests and work orders to ensure timely, high‑quality completion Serve as the Agency’s main contact for vendors, landlords, and insurance claims Oversee vendor RFP processes, scheduling, and contract negotiations for preventative maintenance and annual inspections Hire and train maintenance managers and department staff Design and maintain an online asset database cataloging equipment purchase dates, serial/model numbers, and warranty information Oversee major emergency maintenance situations requiring insurance claims, restoration, or major repairs Complete annual capital needs assessments in collaboration with the SVP of PHD and SVP of Property Management Maintain or develop systems and policies to ensure work is high quality, efficient, safe, and timely Conduct semi‑annual facilities inspections and audits to proactively address issues Build and maintain relationships with property owners and managers of leased facilities Resolve disputes or unmet needs, exceeding program expectations in facilities Collaborate with program leadership for safety-related or major facility requests Possess general knowledge of local building and safety codes Learn new facilities and property management software, quickly identifying and resolving issues Review and monitor occupancy, operational, and capital budgets, with assistance from the Finance Partner Analyze department structure and recommend improvements to SVP of Property Management Be available after hours for emergency situations to assist with vendor/contractor coordination and manage on‑call schedules Financial Develop and monitor the maintenance department budget with the SVP of Property Management and VP Property Management & Housing Development Assist with capital planning for all building assets and infrastructure Review and approve estimates, purchase orders, invoices, and lien releases for maintenance related items Develop, implement, and continuously maintain systems to inventory agency‑owned equipment, tools, and maintenance assets Safety Stay current with OSHA regulations and training requirements Oversee and follow up on notices and inspections in conjunction with safety staff Work collaboratively with local, state, Fire, and Health Departments to ensure compliance with facility codes and requirements Oversight of the Agency’s Risk Management and serve on the Risk Management Committee Collaborate with the Training Center of Excellence to ensure staff participate in relevant safety training, including hazard communications and emergency procedures Lead the Agency’s safety committee and develop plans for natural disasters and emergencies to protect building assets Follow up on incident reporting and the Incident Review Process concerning maintenance hazards or issues Security Implement, train, and oversee security for all facilities, including crisis management communication and planning Team Player Collaborate with other departments to build communication, maximize resources, and develop shared goals Provide leadership and commitment to the agency’s mission, vision, and values Identify and monitor appropriate outcome goals regularly Participate on agency committees and teams as requested (e.g., Safety Committee, Risk Management) Compensation Compensation based on experience and education.
