We are representing a growing CPA and advisory firm in McKinney TX that is looking for an Operations Manager to take ownership of the operational side of the practice. This is not a traditional office manager position. You will sit at the centre of the firm, connecting the tax, accounting, advisory, admin, and leadership teams and making sure deadlines, client onboarding, billing, workflow, and internal processes stay on track. The firm changing some of their systems & processes in September, so this is also a chance to have a meaningful role in improving how the practice operates rather than simply maintaining existing processes. What the role looks like A big part of the position is practice management. You will help manage workflow across the firm, assign and monitor work, keep visibility over deadlines, and make sure files do not sit untouched during busy periods. Around tax season, you will coordinate the operational setup behind the work, including rolling returns forward, preparing organizers, assigning work, monitoring e filing progress, and helping ensure completed returns are properly assembled before reaching clients. You will also have the opportunity to improve the systems behind that work. The firm wants someone who can look at a process, identify where time is being lost, and help build better templates, checklists, and workflows. You will also own much of the client journey You will help take new tax, accounting, and advisory clients from initial onboarding through to becoming fully established with the firm. That includes gathering documentation, coordinating QuickBooks access, confirming services, setting clients up internally, and making sure they are connected with the right accountant or bookkeeper. You will also be a point of contact for existing clients when documents are outstanding, billing questions arise, or administrative filings need to be completed. The aim is simple: clients should always know what is happening next, and the accounting team should have what they need to do their jobs. There is a financial and operational side too You will work with QuickBooks and support internal bookkeeping, billing, collections, time tracking, reconciliations, and reporting. You will also help leadership understand what is happening across the practice by tracking areas such as WIP, accounts receivable, utilization, turnaround times, billings, and realization. For someone who enjoys turning operational data into practical decisions around capacity, staffing, and workflow, there is plenty of scope to make an impact. Who this could suit You will likely have around 3 to 5 years of experience in practice operations, client service, office management, or a similar role within public accounting or another professional services environment. You should be comfortable using QuickBooks and have experience with a practice management system, or something comparable. More importantly, you should be someone who is comfortable taking ownership. The firm needs a person who can manage deadlines, follow up with clients and staff, solve day to day operational issues, and keep multiple moving parts organized without needing constant direction.
