Workplace Experience Ambassador

The Workplace Experience Ambassador serves as the professional face of our organization, delivering exceptional hospitality and comprehensive reception services while providing administrative support and facility coordination to ensure a seamless workplace environment.

Essential Responsibilities

• Greet all visitors warmly and professionally, creating outstanding first impressions
• Manage visitor sign-in process, issue ID badges, and notify hosts of guest arrivals
• Collect and record returned visitor badges
• Provide wayfinding assistance and information about campus services and activities
• Receive and direct incoming calls efficiently

Security & Access Management

• Execute end-to-end badge management: issuing, validating, distributing, and retrieving
• Take photographs for badge issuance as needed
• Perform daily audits of badges and keys
• Manage landlord access cards and carpark credentials
• Liaise with Security teams on access changes and issues
• Act as single point of contact for security matters

Facility Coordination

• Maintain reception, lobby, and surrounding areas to brand standards
• Manage meeting room bookings and keys
• Troubleshoot alarm and door issues with Security team
• Create work orders for custodial, maintenance, safety, and security concerns
• Receive and dispatch couriers/mail (when no mailroom onsite)

Administrative Support

• Provide support to geographically dispersed teams and executive leadership
• Manage expense reports, submissions, and corporate card reconciliation
• Handle complex calendar management across global time zones
• Coordinate travel arrangements through internet-based systems
• Prepare and edit correspondence, presentations, and documents

Operations & Service Excellence

• Proactively anticipate needs and identify solutions
• Coordinate across teams for meetings and events
• Monitor and implement service standards
• Identify and escalate potential risks appropriately
• Manage backfill coverage for absences
• Perform ad hoc assignments as needed

Qualifications

Required:

• Minimum 5 years reception, hospitality, or administrative support experience
• Excellent proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)
• Strong organizational and multitasking abilities
• Exceptional customer service skills

Preferred:

• Real estate or corporate facilities experience
• Bachelor's degree in business administration, hospitality, or related field
• Experience supporting executive-level personnel

Estimated compensation for this position:

49,100.00 58,000.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
