HR Specialist

HR SpecialistCoastal Bend College is seeking a dedicated and dynamic HR Specialist to join the Human Resources team. This position will support recruitment, onboarding, employee engagement, and professional development. This position will also support benefits and payroll functions as needed. The ideal candidate will help create a positive employee experience, support organizational effectiveness, and promote compliance with college policies and applicable regulations.Job Duties and ResponsibilitiesDuties and Responsibilities:Key Responsibilities:1. Recruiting:• Serve as the primary contact and departmental resource for the Applicant Tracking System (ATS). • Coordinate and schedule applicant interviews through the ATS.• Manage the pre-boarding process for new hires.• Support all aspects of the recruitment and selection process.• Maintain accurate and timely recruitment records.• Communicate professionally with applicants, hiring managers, and college stakeholders throughout the recruitment process.2. Onboarding:• Develop, implement, and continuously improve the onboarding process for new employees in an academic environment.• Conduct orientation sessions and prepare training materials that introduce new employees to college policies, culture, procedures, and resources.• Collaborate with department heads to ensure that equipment, resources, system access, and other necessary materials are available to new employees.• Monitor and evaluate onboarding processes and gather feedback from new hires to support continuous improvement.• Maintain accurate onboarding records and ensure required documentation is completed timely.3. Professional Development:• Identify and assess training needs throughout the college and assist in designing programs that support employee growth and career development.• Coordinate and deliver workshops, seminars, and training sessions focused on professional skills, educational methods, compliance, and strategic initiatives.• Manage and evaluate the effectiveness of training and professional development programs.• Partner with external educational organizations and training providers to offer specialized development opportunities.• Maintain records of employee participation in training and professional development activities.4. Employee Engagement:• Promote a positive workplace culture that supports employee engagement, continuous improvement, and professional development.• Develop and support employee engagement initiatives, recognition activities, surveys, and other programs that contribute to employee satisfaction and retention.• Provide resources and guidance related to career development plans, mentoring programs, and succession planning.• Support employees and supervisors in establishing professional goals and evaluating progress.• Assist with identifying and developing employees for future leadership and critical roles within the college.• Gather and communicate employee feedback to support improvements in workplace practices and the employee experience.5. Cross-Functional Human Resources Support • Develop working knowledge of payroll processes, timekeeping requirements, and related human resources procedures.• Assist with payroll-related activities, including reviewing information for completeness and accuracy and coordinating corrections as needed.• Learn and assist with reconciliation processes involving payroll, benefits, employee records, and related financial or human resources data.• Develop working knowledge of employee benefits programs and provide general administrative support for benefits enrollment, changes, and employee inquiries.• Assist with benefits communications, documentation, and coordination with applicable vendors and internal departments.• Maintain confidentiality and safeguard sensitive employee, payroll, and benefits information.• Collaborate with Human Resources team members and other departments to support accurate and efficient cross-functional processes.6. Compliance and Reporting:• Maintain accurate records related to recruitment, onboarding, training, employee engagement, payroll support, reconciliation, and benefits activities in accordance with college and regulatory requirements.• Ensure adherence to college policies and applicable federal, state, and local regulations.• Prepare reports related to recruitment activity, onboarding effectiveness, professional development, employee engagement, and other human resources functions.• Support audits, reviews, and information requests by compiling accurate and timely documentation.• Perform additional duties as assigned.QualificationsMinimum Qualifications:• Associate's degree in Human Resources, Business Administration, Education, or a related field.• One year of experience in human resources, preferably in an educational setting, with experience in recruitment, onboarding, employee engagement, or employee development.• General understanding of human resources practices, employee development, adult learning principles, and community college operations.• Ability to learn and support payroll, reconciliation, and employee benefits processes.• Excellent interpersonal and communication skills, with the ability to build effective relationships with diverse stakeholders.• Strong organizational skills and attention to detail.• Ability to maintain confidentiality and handle sensitive information appropriately.Preferred Qualifications:• Bachelor's degree in Human Resources, Business Administration, Education, or a related field.• Two years of experience in human resources.• Experience with recruitment, onboarding, employee engagement, payroll support, benefits administration, or reconciliation processes.• Proficiency in HR software, applicant tracking systems, and Microsoft Office Suite.• SHRM or HRCI certification, or the ability to complete certification within six months.Supplemental InformationTravel Requirements:• May require occasional travel to all CBC sites and conferences.Environment:• Work is generally performed in an office setting with frequent interruptions and changes in workflow and volume.
