We are seeking an organized, detail-driven IT Services Coordinator to serve as the operational backbone of the Office of the CIO.

As the first and most experienced Hospice Care provider in Texas, VNA has a trusted reputation for delivering high-quality care for over 90 years. Our hospice and palliative care programs are available across 16 counties in North Texas, including: Collin, Cooke, Dallas, Denton, Ellis, Fannin, Grayson, Henderson, Hunt, Johnson, Kaufman, Rockwall, Tarrant, Van Zandt, and parts of Wise and Navarro Counties.

Position Overview

In this role, you will manage the business side of IT: coordinating leadership governance, tracking contracts and renewals, reconciling vendor invoices, administering our print fleet, and supporting annual HIPAA risk assessments and security safeguards . This is an operational coordination role rather than a technical help desk position, giving you the opportunity to keep our technology workflows running with precision and purpose.

How You'll Make an Impact

• Drive IT Governance & Daily Operations: Organize agendas, decision records, and action items for IT leadership and steering committees, compile materials for board and executive reporting, and maintain the IT policy library.
• Coordinate Onboarding & Access Safeguards: Partner with HR to coordinate IT setup for new team members (accounts, devices, and badges) and promptly process departures to recover assets and remove system access on day one.
• Manage Contracts & Invoices: Maintain the IT contract register, issue renewal alerts 90+ days in advance, verify vendor invoices against contracts and seat counts, and track monthly budget variances.
• Support HIPAA & Building Compliance: Assist with the annual HIPAA Security Risk Assessment, track remediation items, maintain physical key and security badge inventories, and conduct periodic site walkthroughs.
• Administer Procurement & Copier Fleet: Gather equipment quotes, create purchase orders, log incoming IT assets, and manage service calls, supplies, and lease returns for our agency-wide printer and copier fleet.

What We're Looking For

• Experience: 3+ years in IT administration, business operations, or project/program coordination.
• Education: Associate degree or equivalent practical experience (Bachelor's degree in business, information systems, or health administration preferred).
• Operational Knowledge: Practical understanding of purchasing workflows (quotes, purchase orders, receiving), vendor contract tracking, and invoice reconciliation.
• Technical & Organizational Skills: Strong proficiency with Microsoft 365 (Outlook, Teams, SharePoint, Excel) with comfort assembling management reports and tracking project RAID logs.
• Discretion & Compliance: Demonstrated integrity and discretion when handling confidential business records and protected health information (PHI).
• Preferred Assets: Familiarity with HIPAA rules, healthcare/nonprofit environments, ITSM ticketing systems, managed print contracts, or certifications such as CompTIA A+, ITIL 4 Foundation, or CAPM.

Working Conditions

• Work Environment & Schedule: Primarily office and hybrid work based at our Dallas headquarters, with periodic on-site visits to our Meals on Wheels facility and branch locations. Occasional early mornings or after-hours coverage may be needed to support Meals on Wheels operations, audit reviews, or project deadlines.
• Mobility & Travel: Local travel between VNA sites to conduct walkthroughs, retrieve or deliver equipment, and collect access badges.
• Physical Expectations: E xtended computer and display screen use, with the ability to lift and transport equipment and office supplies up to 25 pounds.
• Security & Compliance: Requires passing a background check, signing VNA's confidentiality agreement, and adhering to role-based, minimum-necessary access and HIPAA standards.
