About the Role

We are looking for a professional, organized, and customer-focused Front Desk Receptionist to join our team. The ideal candidate is bilingual (English/Spanish) , detail-oriented, and passionate about providing excellent customer service while maintaining a welcoming and professional office environment.

This position plays a key role in supporting daily office operations, assisting clients with forms and appointments, and ensuring the office remains clean, organized, and efficient.

Responsibilities

Administrative Organization

• File and digitize documents according to internal protocols.
• Maintain and update client databases and report any inconsistencies.
• Monitor office supply inventory (forms, pens, folders, etc.) and request restocking when needed.
• Prepare weekly reports regarding client attendance and completed forms.

Customer Service & Forms Assistance

• Welcome clients professionally and guide them through Mas Access services.
• Assist clients in completing forms accurately and clearly.
• Explain documents requiring signatures and answer client questions professionally.
• Maintain daily records of clients assisted and forms processed.
• Coordinate and confirm office appointments.

Office Cleanliness & Presentation

• Ensure reception areas, desks, and common spaces remain clean and organized at all times.
• Maintain order in waiting areas, including chairs, tables, and informational materials.
• Monitor restroom and common area conditions and report maintenance needs when necessary.
• Keep signage, flyers, brochures, and informational materials visible and presentable.

Reporting & Internal Communication

• Submit weekly reports including:
• • Number of clients assisted
  • Office organization and cleanliness observations
  • Supply needs or improvement suggestions
• Report any irregularities or situations affecting office operations immediately.

Team Collaboration

• Support the Project Manager with community events and office activities.
• Assist Captive Agents with promoting services and activities inside and outside the office.
• Participate in event logistics, promotional material distribution, and attendee assistance.
• Represent Mas Access with professionalism and excellent customer service at all times.

Qualifications

• Bilingual: Fluent in English and Spanish (required)
• Strong communication and customer service skills
• Excellent organizational skills and attention to detail
• Ability to multitask in a fast-paced environment
• Professional appearance and attitude
• Basic computer and office software skills
• Previous front desk, receptionist, or customer service experience preferred

Compensation

• Pay: $16–$18 per hour depending on experience.

Schedule

• Monday to Friday, 9:00 AM to 5:00 PM.
