School Office Manager-Elementary - 23726 (Contracted and/or Limited Term)

Current Vacancies are located at Sundance Elementary, Morning Creek Elementary, & Sunset Hills Elementary. 40 hours per week/ 11 months per year This list will also be used to fill future vacancies that occur within this classification throughout the 26-27 school year. It will also be used to process substitutes interested in Limited Term assignments. PUSD Classification Salary Range: $26.43 - $33.83 per hour Anticipated Hiring Salary Range: $26.43 per hour (step 1) - $30.65 per hour (step 4) Limited Term (Sub) Salary: $26.43 per hour (step 1) Selection Procedure Applications will be screened, and those candidates whose backgrounds best match the requirements of the position will be invited to participate in a competitive examination process, which may include any combination of the following: Training & Experience evaluation (T&E), multiple-choice question test, job-related performance exercise, and technical/or oral appraisal interview. Examination procedures are subject to change as deemed necessary by the Director of the Personnel Commission. Candidates who pass all of the examination processes are ranked on an eligibility list according to their score(s). Selection for the position will be made from among the top three (3) ranks of candidates. The eligibility list will be used for hiring purposes in other vacancies in the same, or equivalent, job classification and will be active for six (6) months (Merit Rule 50.100.1).

BASIC FUNCTION

The School Office Manager - Elementary organizes, coordinates, schedules, and performs a wide variety of complex administrative responsibilities; performs public relations and communication services for the Principal to support District personnel, parents, students, staff, and local community; relieves the Principal of a wide variety of technical and administrative detail; trains and provides work direction to assigned staff.

REPRESENTATIVE DUTIES

Coordinates office activities to assist the Principal in administrative tasks, providing leadership to school administrative activities frequently in the absence of the Principal for the purpose of completing activities and/or delivering services in a timely fashion. Supports the Principal to assist with administrative matters as appropriate for the purpose of providing assistance with functions and responsibilities. Oversees and leads the activities of the office staff; provides training, technical leadership, and direction; establishes work priorities; and provides input to performance evaluations. Acts as a liaison between the District, Workers' Compensation, teachers, the public, parents/students, and contractors for the purpose of facilitating access to resources, resolving inquiries, and solving issues. Assists with administering routine first aid to students and staff in the absence of the health technician; dispenses medication according to physician instructions and District policy; notifies parents of ill or injured students for the purpose of ensuring student and staff welfare. Collects, compiles, organizes, and records a variety of data related to student attendance, discipline, enrollment, activities, personnel, payroll, and equipment inventory for the purpose of preparing and maintaining related records, files, and logs. Enrolls, registers, and schedules new students; establishes and oversees new student enrollment procedures, maintains, and monitors numbers for staffing purposes; completes records for the release or transfer of students for the purpose of securing an appropriate placement and meeting their graduation requirements. Compiles, organizes, and assists with a wide variety of manual and electronic documents, files, and records (e.g. budget data, payroll and personnel matters, employee records, absences, financial records, reports, attendance, student discipline entries, school website, annual emergency/disaster plans, etc.) for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements. Maintains, reconciles, and balances school budgets and accounts; prepares a variety of budget and financial materials, correspondence reports, and statistical information utilizing automated budget systems (e.g. collects and secures monies received for school activities, field trips, events, and supplies, etc.) for the purpose of maintaining accurate account balances. Participates in a variety of meetings, workshops, and/or trainings for the purpose of providing or receiving information, recording minutes, and supporting the needs of the attendees. Prepares and maintains a wide variety of reports, records, documents, files and composes correspondence of a confidential and non-confidential nature (e.g. letters, memorandums, meeting minutes, charts, vendor contracts, student records transfer, operational procedures, manuals, employee absences, transportation requests for events and field trips, etc.) for the purpose of documenting activities, providing written reference, and/or conveying information. Presents information on administrative procedures (e.g. department/program policies, submission procedures, etc.) for the purpose of orienting new personnel and/or disseminating information to existing personnel. Procures supplies and materials for the purpose of maintaining the availability of required items for staff, PTA, Foundation, and site administration. Provides clerical and technical assistance to faculty and staff as needed for the purpose of providing general information and/or routing inquiries. Receives and responds to visitors and telephone calls from internal and external parties; exercises independent judgment in resolving routine matters or directing to appropriate departments (e.g. staff, parents, students, public agencies, etc.) for the purpose of providing information and facilitating communication. Represents assigned administrator in their absence at various events, interacting with parents and outside agencies regarding critical events or emergencies for the purpose of conveying and/or gathering information required. Serves as a resource person for other District secretarial and clerical staff; develops and implements office systems and procedures for the purpose of assisting in the implementation of services and programs and achieving operational goals.

EDUCATION AND EXPERIENCE

Any combination of education and experience equivilant to: graduation from high school supplemented by course work in business administration, communications or a related field and three (3) years of increasingly responsible clerical or administrative office experience involving frequent contact with the public.

LICENSES AND OTHER REQUIREMENTS

Some positions in this classification must obtain a valid First Aid and CPR certification issued by an authorized agency within six months of employment.

SELF-CERTIFICATION OF TYPING/KEYBOARDING SKILLS

This classification requires that incumbents be skilled in typing/keyboarding at a minimum of 45 words per minute. A typing test will not be given. Applicants must certify in writing that they have such skills. Demonstrated proficiency will be expected during the probationary period for the class.

School office terminology, practices and procedures. Modern office practices, procedures and equipment. Financial and statistical record-keeping techniques. Health and safety regulations. Correct English usage, grammar, spelling, punctuation and vocabulary. Oral and written communication skills. Interpersonal skills using tact, patience and courtesy. Telephone techniques and etiquette. District organization, operations, policies and objectives. Basic first aid techniques. Operation of standard office machines, including computer equipment. Letter and report writing techniques. Applicable sections of the State Education Code and other applicable laws. Letter and report writing skills.

ABILITY TO

Assist the Principal and perform a wide variety of administrative and financial duties to coordinate school office activities. Oversee and perform a wide variety of office tasks and procedures. Perform public relations and communications services for the Principal. Add, subtract, multiply and divide quickly and accurately. Understand and follow oral and written directions. Compose correspondence independently. Type or input data at an acceptable rate of speed. Complete work with constant interruptions. Work independently with little direction. Establish and maintain cooperative and effective working relationships with others. Interpret, apply and explain rules, regulations, policies and procedures. Operate a variety of office machines including computer, calculator and copiers. Understand and work within scope of authority. Maintain good public relations with students, parents, teachers and the public. Meet schedules and time lines. Plan and organize work. Train and provide work direction to others. Compile and maintain accurate records and prepare reports. Work confidentially with discretion. Communicate effectively both orally and in writing.

ENVIRONMENT

Office environment. Constant interruptions. Excessive intermittent noise.

PHYSICAL DEMANDS

Dexterity of hands and fingers to operate a computer keyboard. Sitting for extended periods of time. Bending at the waist, kneeling or crouching, reaching overhead, above the shoulders and horizontally to retrieve and store files and supplies. Hearing and speaking to exchange information in person or on the telephone. In accordance with Personnel Commission Rules and Regulations of Classified Service # 70.200.1, new employees to Poway Unified School District will be placed at Step 1 (Minimum Salary) of the official salary range designated for the position.
