Operations And Administrative Personnel

i3 is seeking to hire Operations and Administrative personnel to support the Program Executive Office for Aviation's (PEO AVN) Headquarters staff. The successful candidate will have the upmost professional skills, effective and efficient communication skills, strong organizational skills, and self-motivation. The candidate will be responsible for such tasks as managing Executive Level Project Office and Division Level Managers; managing conference room scheduling and activities for assigned Divisions and Product Offices; manipulation, addition, and maintenance of documents and calendars on the SharePoint Portal; Subject Matter Expert for document searches and document entry, interacting with customers and keeping data accurate and current. This position is located in Huntsville, AL.

Responsibilities

Duties may include operation of various office equipment, project support, documentation support, mail services, booking travel, managing multiple calendars, and other duties as assigned.

Creates travel authorizations for government travel (OCONUS and CONUS locations).

Carefully reviews memos and other documentation.

Reviews expense reports and vouchers.

Maintains training files.

Performs a variety of general administrative tasks, such as preparing correspondence, coordinating business travel, battle rhythms, and meeting arrangements, answering phones, filing, and sorting and distributing mail, in support of the day-to-day operations of the office.

Take meeting minutes and action items during meetings as requested and perform basic follow-up.

May be assigned special projects that are clerical or administrative in nature.

Provide assistance developing technical direction, planning, etc. for the various Product Offices.

Analyzes program activities such as acquisition schedules for planning purposes utilizing government databases and processes, and coordinates UAS DoD taskers for PM Office.

Utilize government databases for determining system security information, specifically, the System Security Classification Guide.

Administer and control calendars, telephones, miscellaneous memorandums, and correspondences.

Perform operations functions such as ETMS2.

Coordinate and process travel and expense vouchers with the Defense Travel System (DTS).

Assist with making sure the team is compliant with timeline and PEO guidance for government personnel time into ATAAPS (Automated Time Attendance & Production System).

Perform operational functions for Executive Leadership and Staff for various team actions.

Other duties as assigned.

Qualifications

Minimum of 5+ years of relevant experience with a Bachelors and/or Masters in a Business Related Field.

Additional experience may substitute for degree.

Prior relevant experience in Executive Assistant and/or Operations preferred.

Positive go-getter attitude and proven customer service skills.

Government travel experience required to include knowledge of foreign clearance guide requests.

Must be proficient in Microsoft Office.

Excellent verbal and written communication skills.

Must demonstrate the ability to work effectively on project teams with a variety of functional areas and management levels.

Must be detailed-oriented and organized.

Excellent verbal and written communication skills required with good command of English language both oral and written.

A professional appearance and professional telephone manner is essential.

DoD Secret security clearance required.

U.S. Citizenship is required.
