Client Services Administrator

We are looking for a Client Services Administrator (hybrid) to join our client at a highly successful, growing organization! This position plays a critical role in supporting client relationships and ensuring a seamless experience from client onboarding through project completion.

This is a highly visible role within the organization, ideal for someone who is detail-oriented, proactive, and comfortable managing multiple priorities in a fast-paced, client-focused environment.

Responsibilities:

• Serve as a primary point of contact for client communications, ensuring timely and professional responses
• Monitor and manage shared inboxes, routing inquiries and resolving requests
• Prepare, distribute, and track client documentation
• Coordinate and send key audit-related documents
• Review and distribute draft and final deliverables to clients with a high degree of accuracy
• Maintain and update client data across internal systems, ensuring completeness and consistency
• Generate reports and provide updates regarding project status and outstanding items
• Support internal teams with administrative and operational tasks as needed
• Professionally handle incoming phone calls and direct inquiries appropriately
• Identify workflow inefficiencies and proactively recommend process improvements
• Ensure adherence to client-specific communication preferences and requirements

Requirements:

• Bachelor’s degree, or in progress and able to work full-time
• 0-2 years of experience in a professional administrative or support role, or client/ customer facing role (restaurant, retail, etc.)
• Strong organizational skills with exceptional attention to detail
• Ability to manage multiple deadlines and prioritize tasks independently
• Proactive mindset with the ability to anticipate needs and take initiative
• Excellent written and verbal communication skills
• Comfortable interacting with both clients and internal stakeholders
• High level of accountability and ownership over assigned responsibilities
• Strong problem-solving skills and sound professional judgment
• Proficiency in Microsoft Office Suite, particularly Word, Excel, and Outlook
• Ability to learn new systems and tools quickly
