Shipping CoordinatorBluefors Cryocooler Technologies, Inc. is looking for a detail-oriented and highly organized Shipping Coordinator to join our team in Syracuse, NY. In this role, you will play an important part in ensuring that customer orders and service shipments are packaged accurately, documented properly, and delivered on time. You will work closely with Production, Test Room, Shipping, Customer Service, Sales, Service, Quality Control, Compliance, Accounting, customers, freight carriers, and customs brokers. If you enjoy coordinating multiple priorities, solving problems, and making sure the details are right, this is an excellent opportunity to contribute to a growing and innovative organization.Your responsibilities will include coordinating all shipments of sales and service orders from Bluefors Cryocooler Technologies, Inc. You will receive customer orders from Production and verify that quantities, labeling, packaging, and other shipment requirements are accurate before orders leave the facility. You will prepare and maintain shipping labels and documentation, including packing lists, invoices, bills of lading, and customs forms. You will communicate with freight carriers and transportation providers to obtain freight quotations and coordinate shipment pickups and deliveries. You will provide internal and external customers with timely shipment updates and tracking information while proactively identifying and resolving discrepancies or other shipping-related issues to minimize delays. For international shipments and receipts, you will work with customs brokers and relevant authorities to support smooth customs clearance. You will coordinate daily packaging and shipping schedules with Production, Quality Control, Compliance, Sales, and Service teams, confirm customer payment status with Accounting when necessary, notify customers when shipments are ready or have been dispatched, and assist Sales and Service teams with freight quotations for new customer orders. You will also perform other duties as assigned to support the team and the organization.We are looking for someone who is organized, dependable, detail-oriented, and comfortable managing multiple priorities in a fast-paced environment. You should have a high school diploma or GED, along with two to three years of related experience and/or training, or an equivalent combination of education and experience. The ability to read and interpret safety rules, operating and maintenance instructions, procedures, training materials, and other workplace documentation is important. Strong time-management, organizational, interpersonal, written, and verbal communication skills are essential, as is the ability to work effectively with both internal and external customers. Proficiency with Microsoft Office and general computer skills is required. You should demonstrate strong attention to detail, accountability, adaptability, teamwork, continuous learning, and a commitment to safety. The ability to follow established procedures, communicate professionally, maintain confidentiality when appropriate, and work collaboratively across departments will be critical to your success. You must also be comfortable working in both an office and manufacturing environment and able to meet the physical demands of the position. Excellent command of English, both written and spoken, is required.We also appreciate candidates who bring experience coordinating freight shipments, working with transportation providers or freight forwarders, preparing international shipping or customs documentation, or supporting logistics operations in a manufacturing environment. We foster a multicultural work environment with room to grow, where you can use your potential and further develop your skills.Main responsibilities:Coordinate all sales and service shipments from Bluefors Cryocooler Technologies, Inc., ensuring orders are prepared accurately and shipped according to customer requirements.Receive customer orders from Production and verify quantities, labeling, packaging, and shipment readiness.Prepare and maintain shipping labels and documentation, including packing lists, invoices, bills of lading, and customs forms.Obtain freight quotations from carriers and transportation providers and coordinate shipment pickups and deliveries.Communicate shipment status and tracking information to internal and external customers.Proactively identify, investigate, and resolve shipping discrepancies and other issues to minimize delays.Coordinate with customs brokers and relevant authorities to facilitate customs clearance for international shipments and receipts.Work with Production, Quality Control, Compliance, Sales, and Service teams to establish and maintain daily packaging and shipping schedules.Confirm customer payment status with the Accounting department as needed before shipments are released.Notify customers of completed shipments and provide appropriate tracking information.Assist Sales and Service teams with obtaining freight quotations for new customer orders.Perform other duties as assigned.What we expect from you:High school diploma or GED, with two to three years of related experience and/or training, or an equivalent combination of education and experience.Strong organizational and time-management skills, with the ability to prioritize and coordinate multiple shipments and deadlines.Excellent attention to detail and accuracy when preparing orders, labels, shipping documents, and customs paperwork.Strong verbal and written communication skills and the ability to interact professionally with customers, carriers, freight forwarders, customs brokers, and internal departments.Proficiency in Microsoft Office and general computer applications.Ability to read and interpret safety rules, operating and maintenance instructions, procedure manuals, training documents, and other written procedures.Demonstrated dependability, adaptability, teamwork, accountability, and willingness to continuously learn and develop new skills.Ability to proactively identify problems, take appropriate action, and follow established procedures to resolve issues.Commitment to maintaining a safe work environment and following required safety procedures and PPE requirements.Ability to work effectively in both office and manufacturing environments.Excellent command of English, both written and spoken.Ability to meet the physical requirements of the position, including lifting and moving materials as required.We also appreciate:Previous experience in shipping, logistics, transportation, freight coordination, manufacturing, or a related field.Experience working with freight carriers, freight forwarders, customs brokers, or international shipments.Familiarity with freight quotations, shipment tracking, bills of lading, commercial invoices, packing lists, and customs documentation.Experience coordinating activities across multiple departments in a manufacturing or technical organization.Strong problem-solving skills and a proactive approach to identifying and resolving shipping issues.A customer-focused mindset and the ability to maintain professional relationships with internal and external customers.A collaborative, team-oriented approach and a willingness to support colleagues and contribute to shared goals.A commitment to accuracy, continuous improvement, adaptability, inclusion, dependability, and workplace safety.Physical demands:While performing the duties of this job, the employee is frequently required to stand, walk, reach with arms and hands, and use hand and finger dexterity.
