POSITION SUMMARY:
The Bursar Services Coordinator supports the daily operations of the Bursar's Office by coordinating student account processes, maintaining financial records, managing payment and refund administration, supporting office communications, and assisting with departmental projects and compliance initiatives.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Provide excellent and considerate customer service via in-person, telephone, and email communication with students and other faculty and staff.
- Assist with answering the main Bursar Office phone line and directing inquiries to the appropriate team member.
- Maintain accurate records of student communications and account activity
- Process and maintain incoming/outgoing mail for the Bursar’s Office.
- Collaborate with campus departments to research, verify, and resolve student account activity, including payments, scholarships, refunds, and related financial transactions.
- Administer and support payment processing systems, including Transact and Jenzabar.
- Make change and issue receipts or tickets to customers in conjunction with transaction input into Jenzabar.
- Process and post cash and electronic payments, EFT payments, tuition assistance payments, veteran benefits payments, tribal payments, and other approved funding sources.
- Manage petty cash transactions and reconciliations.
- Receive, process, reconcile, and prepare deposits for cash, checks, and electronic payments received by University Advancement and other departments within the University.
- Support month-end and year-end Bursar Office processes
- Create and send student account invoices to students/third parties.
- Maintain and update a policy and procedures manual.
- Assist with Student Account questions.
- Record Financial Aid G5 entries and other assigned financial transactions within Jenzabar.
- Assist with student refund processing, overage notifications, and direct deposit verification and administration.
- Management of returned mail, returned refunds, and stale-dated checks.
- Assist with special projects, as required.
- Participate in team planning meetings and Contribute to Department and University Objectives and Key Results.
- Perform other assigned tasks and duties necessary to support the Bursar’s Office.
- Attend and participate in chapel services as required, supporting the University’s mission and contributing to the spiritual life of the campus community.

EDUCATION and/or EXPERIENCE:
High school diploma or general education degree (GED); or one to three years related experience and/or training; or equivalent combination of education and experience. To perform this job successfully, an individual should have general record-keeping and general bookkeeping experience. Experience in higher education is helpful.
COMPUTER SKILLS:
- Have knowledge of Jenzabar and Information software and Microsoft Office, Excel & G-Suite.
- Excellent written communication- The individual edits work for spelling and grammar, presents numerical data effectively, and is able to read and interpret written information.
- Has Quality Control - The individual demonstrates accuracy and thoroughness and monitors their own work to ensure quality.

The employee must have visual acuity to read documents, computer screens, and spreadsheets. The employee must also have hearing and speech abilities for effective communication in person and over the phone. Occasional standing, bending, and reaching may be required to retrieve and organize files.
