Maiden Fire Department Administrative Supervisor

Job Description

Performs advanced administrative, supervisory, and operational leadership work in support of the overall management and direction of the Maiden Fire Department. Assists the Fire Chief in coordinating departmental operations, personnel management, emergency response functions, training initiatives, equipment readiness, and strategic planning. Serves as the acting Fire Chief during the Chief's absence and provides leadership to ensure efficient and effective delivery of fire suppression, rescue, emergency medical, prevention, and public education services.

Duties

The following duties are intended to describe the general nature and level of work performed and are not intended to be an exhaustive list of all responsibilities assigned to this position.

  • Assists with the administration and daily operation of the Fire Department, including personnel supervision, operational readiness, and organizational planning.
  • Oversees department logistics involving apparatus, equipment, facilities, and maintenance programs to ensure operational effectiveness and compliance with applicable standards.
  • Coordinates scheduled inspections, preventative maintenance, testing, and repair of fire apparatus, equipment, hydrants, and departmental facilities.
  • Responds to emergency incidents and may assume command responsibilities at fires, rescues, hazardous conditions, and other emergency operations.
  • Supports and promotes departmental safety initiatives, risk management practices, and compliance with occupational safety standards.
  • Assists with the implementation and management of departmental technology systems, records management software, reporting systems, and communications equipment.
  • Compiles and maintains records, reports, statistics, and operational data required for local, state, and federal reporting purposes.
  • Assists in preparing departmental budgets, monitoring expenditures, and researching operational needs and capital improvement projects.
  • Provides leadership, mentoring, performance coaching, and supervision to department personnel while fostering professionalism, accountability, and teamwork.
  • Participates in recruitment, interviews, promotional processes, and employee development activities.
  • Conducts inspections of stations, apparatus, equipment, and personnel to ensure cleanliness, readiness, and compliance with departmental standards.
  • Assists with pre-incident planning, emergency preparedness initiatives, and coordination with outside agencies and community partners.
  • Develops and participates in community risk reduction programs, public education events, station tours, and fire prevention activities.
  • Prepares reports, correspondence, evaluations, and other administrative documents utilizing department software and computer systems.
  • Represents the department at meetings, training events, civic functions, and mutual aid activities as assigned.
  • Assumes the duties and responsibilities of the Fire Chief in the Chief's absence.
  • Performs additional duties and special assignments as required.
Typical Qualifications
  • High school diploma or equivalent required.
  • Preferred associate degree in Fire Science, Emergency Management, Business Administration, or a related field preferred.
  • Minimum of ten (10) years of progressively responsible experience in fire suppression and emergency services within a career fire department.
  • Previous supervisory or command-level experience preferred.
  • emergency management principles.
  • Valid North Carolina Class B Driver License (non-commercial) or ability to obtain.
  • North Carolina Firefighter Certification.
  • North Carolina EMT Certification.
  • North Carolina Fire Instructor II Certification.
  • North Carolina Fire Officer III Certification.
  • North Carolina Technical Rescuer Certification preferred.
  • Completion of NIMS/ICS Courses: 100, 200, 300, 400, 700, and 800.
  • Must maintain all required certifications and training standards as mandated by the department and the State of North Carolina.
  • Thorough understanding of fire suppression, rescue operations, emergency medical services, fire prevention, and incident command systems.
  • Working knowledge of applicable federal, state, and local laws, regulations, and standards governing fire and emergency services.
  • Knowledge of organizational leadership, personnel management, budgeting, strategic planning, and policy implementation.
  • Ability to effectively supervise, motivate, and develop department personnel while maintaining fairness, consistency, and professionalism.
  • Ability to communicate effectively both verbally and in writing with employees, elected officials, outside agencies, and the public.
  • Ability to prepare reports, maintain records, analyze operational data, and present information clearly and professionally.
  • Ability to establish and maintain effective working relationships with staff, government officials, community organizations, and the public.
  • Ability to remain calm, exercise sound judgment, and make effective decisions during emergency and high-stress situations.
  • Proficiency in the use of computers, fire reporting software, records management systems, and standard office applications.
Supplemental Information
  • Work involves a combination of administrative responsibilities and emergency response duties. While much of the position is performed in an office or station environment, the employee must be capable of performing strenuous physical activity during emergency operations.
  • Physical demands may include climbing, balancing, kneeling, crawling, lifting, carrying, pulling, pushing, reaching, standing, walking, and operating firefighting and rescue equipment. The employee must be capable of wearing personal protective equipment and self-contained breathing apparatus while performing fire suppression and rescue activities. The position may require exertion of heavy physical force in emergency situations and the ability to work extended hours during incidents or disasters.
