Client Service & Operations Associate

Compensation: $75,000-$85,000 + Bonus + Benefits

Position Overview:

Our client, a boutique wealth management firm serving successful business owners and ultra-high-net-worth families, is seeking a Client Service & Operations Associate to join its growing team. This is a hands-on client service and operations role that goes well beyond traditional administrative support. While this individual will help create an exceptional first impression for clients, the majority of the position will focus on client service, operational execution, paperwork, follow-through, and supporting the complex work happening across the firm.

The role offers exposure to a broad range of sophisticated client needs, including investments, tax strategy, estate planning, business succession, retirement plans, and more.

Key Responsibilities:

Client Service & Relationship Support:

• Serve as a warm, polished, and professional point of contact for clients and visitors
• Assist with day-to-day client service needs and proactively help resolve questions and issues
• Deliver a highly responsive and personalized client experience
• Follow up with clients, custodians, vendors, and outside professionals to keep requests moving forward
• Anticipate next steps and ensure clients receive timely communication and follow-through

Operations & Account Support:

• Prepare, manage, and process client paperwork and account documentation
• Work within the firm's systems, workflows, and operational processes to support accurate and timely execution
• Track outstanding items, deadlines, and follow-up to ensure details do not fall through the cracks
• Coordinate with custodians and other external partners to resolve operational and account-related matters
• Prioritize competing requests based on urgency, business needs, and the client experience
• Identify problems, take ownership, and help determine solutions when there is not an obvious playbook
• Maintain a high level of accuracy and attention to detail across client and operational activities

Team & Advisor Support:

• Provide administrative and operational support to advisors and other members of the team
• Collaborate across the firm to ensure client needs are addressed efficiently and thoroughly
• Learn and support the firm's broader investment, financial planning, compliance, and client service processes
• Take initiative and identify what needs to be done rather than waiting for direction
• Remain flexible and willing to contribute across multiple areas as the needs of the team evolve

Qualifications:

• Professional experience in client service, operations, banking, financial services, or another high-touch service environment
• Wealth management or financial services experience is highly preferred
• Exceptional organizational skills and attention to detail
• Strong follow-through with the ability to manage multiple priorities and deadlines
• Excellent written and verbal communication skills
• Ability to take initiative, work independently, and identify appropriate next steps
• Collaborative mindset with a willingness to wear multiple hats in a boutique firm environment
• Securities and/or insurance licenses are a plus
• Interest in pursuing licensing, continuing education, and professional development is highly valued
