JOB SUMMARYThe Operations Manager serves as the operational leader for SOKS' Inclusive Health initiatives, ensuring that strategy becomes execution and organizational goals become measurable outcomes.Reporting to the Director of Inclusive Health, this position will build systems, develop a high-performing regional team, establish accountability, and create the operational foundation for a statewide Inclusive Health initiative that will improve healthcare access for Kansans with intellectual and developmental disabilities.The Operations Manager creates the structure that allows the team to succeed-developing people, building processes, coordinating across departments and partners, and ensuring consistent execution across multiple grants, programs, and regions.ESSENTIAL DUTIES, FUNCTIONS, AND RESPONSIBILITIESProvide Statewide Operational LeadershipLead the statewide planning, coordination, implementation, and continuous improvement of Special Olympics Kansas Inclusive Health initiatives.Translate organizational and grant strategies into operational plans, priorities, timelines, and measurable outcomes.Ensure programs are implemented consistently across regions while adapting to local needs and opportunities.Identify operational risks, remove barriers, and implement solutions that improve efficiency and program effectiveness.Develop & Lead the Inclusive Health Programs TeamRecruit, coach, mentor, and develop a high-performing statewide programs team.Establish clear performance expectations, goals, accountability measures, and professional development opportunities.Monitor team performance through regular coaching, performance feedback, and progress reviews.Foster a culture of collaboration, accountability, innovation, inclusion, and continuous improvement for the Inclusive Health team and SOKS as a whole.Support Organizational Communication and Strategic Decision-MakingCommunicate operational priorities, project status, milestones, and outcomes to leadership and stakeholders.Synthesize operational data and information to support informed decision-making.Identify emerging needs, recommend operational improvements, and support long-term sustainability planning.Anticipate organizational needs and proactively develop solutions that advance Inclusive Health initiatives.Develop Operational Systems and Standardized ProcessesDesign, implement, and maintain standardized operating procedures, workflows, communication protocols, and decision-making frameworks.Establish operational infrastructure that promotes consistency, accountability, and efficiency across regions.Ensure staff have the tools, resources, training, and support necessary for successful program delivery.Maintain documentation that supports organizational sustainability and knowledge transfer.Oversee Statewide Program OperationsProvide operational leadership for Inclusive Health programs including Healthy Athletes, Youth Programming, Young Athletes, Junior Athletes, Preventative Health Education, Family Health Forums, Health Messenger initiatives, Referral Coordination Services, Rural Healthcare Hubs, and Healthcare Professional Training by:Developing statewide implementation plans, operational calendars, and deployment strategies.Coordinating regional execution and monitoring program performance.Ensuring operational consistency, quality, and scalability across Kansas.Evaluating program outcomes and implementing operational improvements.Direct Volunteers & Clinical Workforce OperationsDevelop statewide strategies for volunteer recruitment, engagement, retention, and recognition in close collaboration with the Dir. Of Inclusive Health.Support the recruitment and coordination of Clinical Directors, healthcare professionals, volunteers, and community partners.Coordinate workforce planning, training, tracking systems, and operational support for statewide events and initiatives.Expand volunteer and healthcare partner engagement to strengthen statewide program capacity.Manage Grant Operations, Performance Metrics, and ReportingWith support from the Data & Evaluation Coordinator, develop and maintain operational systems supporting grant implementation, compliance, documentation, and reporting.Monitor grant performance measures, operational dashboards, and key performance indicators.Ensure accurate, timely, and complete documentation supporting grant deliverables and funding requirements.Collaborate with the Data & Evaluation Coordinator to support reporting, data integrity, and continuous quality improvement.Support Collaborative PartnershipsServe as an operational liaison among internal departments, healthcare partners, volunteers, community organizations, and other stakeholders.Foster collaborative relationships that strengthen program delivery and statewide impact.Coordinate cross-functional initiatives to ensure alignment of organizational priorities and grant objectives. EDUCATION & RELATED EXPERIENCEBachelor's degree in Public Health, Health Administration, Nonprofit Management, Business Administration, Public Administration, Human Services, Education, or a related field required.Seven (7) years of progressively responsible experience in program operations, project management, or organizational leadership, preferably within a nonprofit, healthcare, public health, education, or community-based organization.Three (3) years of experience developing, leading, and coaching high-performing teams.Experience managing multi-site or statewide programs, initiatives, or operations.Experience leading cross-functional projects and collaborating with diverse internal and external stakeholders.Experience implementing grants, strategic initiatives, or large-scale programs, including tracking performance metrics and operational outcomes.Experience developing operational processes, standard operating procedures, and performance measurement systems preferred.Valid driver's license with an acceptable driving record and ability to be insured under organizational policies.KNOWLEDGE, SKILLS, AND ABILITIESDemonstrated leadership skills with the ability to develop, coach, motivate, and hold teams accountable for achieving organizational goals.Demonstrated experience establishing and running successful new initiatives and teams for organizations.Strong organizational and project management skills with the ability to manage multiple priorities, meet deadlines, and adapt to changing business needs.Ability to work independently, exercise sound judgment, and proactively identify and resolve operational challenges.Skill in developing and implementing systems, processes, and standard operating procedures that improve operational efficiency and consistency.Ability to translate strategic objectives into actionable plans, measurable goals, and successful operational execution.Strong analytical and problem-solving skills with the ability to simplify complex issues and develop practical, results-oriented solutions.Excellent verbal, written, and interpersonal communication skills with the ability to effectively engage diverse audiences and stakeholders.Demonstrated ability to build collaborative relationships and work effectively across departments, regions, volunteers, healthcare partners, and community organizations.Strong focus on accountability, continuous improvement, and achieving measurable performance outcomes.Knowledge of project management, process improvement, performance management, and operational best practices.Knowledge of grant implementation, performance metrics, and compliance with grant-funded program requirements.Knowledge of healthcare, public health, nonprofit, volunteer management, or multi-site operations.Experience utilizing key performance indicators (KPIs), dashboards, and operational metrics to monitor performance and support informed decision-making.Passion for operational excellence and advancing the organization's mission through effective leadership, collaboration, and continuous improvement.SUPERVISORY RESPONSIBILITIES AND INTERACTIONS WITH OTHERSThe Health Programs Operations Manager has direct supervisory responsibilities of the Data & Evaluation Coordinator, and five Regional Health Coordinators assigned to different regions. This position works in close partnership with the Director to translate strategic priorities into statewide implementation while ensuring that staff, systems, partnerships, and operational processes are aligned to consistently achieve and exceed grant objectives and organizational goals. Additionally, this position will be expected to interact regularly with coworkers, current and prospective partners, volunteers, healthcare workers and staff, teachers, administrators, athletic and activity directors, athletes, and the general public.PHYSICAL REQUIREMENTSThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Hand-eye coordination is necessary to operate computers and various pieces of office equipmentWORKING CONDITIONSThis job requires travel locally and occasionally out-of-state, including evenings and weekends as required for events and may experience inclement weather. This role will work mostly in regulated inside climate but will also be exposed to outside climates, including extreme cold and heat. Due to the numerous responsibilities of the Operations Manager, traveling time and other requirements of the position, the 8:00 a.m. to 5:00 p.m. concept of work timeframe is uncommon.
