Position Summary The HR Coordinator is an essential member of the Human Resources team, responsible for ensuring accuracy, consistency, and reliability across core people-operations processes. This role maintains the integrity of employee data, supports compliant and timely payroll activities, and delivers a seamless experience throughout the employee lifecycle.
Working closely with HR leadership, the HR Coordinator helps maintain a high-performing HR function that is accurate, customer-focused, and aligned with organizational standards. This position requires strong judgment, exceptional attention to detail, and a commitment to operational excellence. Key Responsibilities Onboarding & Offboarding - Coordinate all aspects of the new-hire and separation process, including documentation, orientation scheduling, and exit logistics.
- Maintain weekly organizational charts in Microsoft Visio to reflect staffing changes, promotions, and open roles.
HRIS Administration
- Maintain accurate, compliant, and up-to-date employee records within the HRIS.
- Ensure data integrity across personnel files and support reporting needs as required. Talent Acquisition Support - Strengthen recruitment operations by posting job openings, screening resumes, coordinating interviews, and ensuring timely, professional communication with candidates.
- Assist with pre-employment screening and federal compliance-related tasks, which include extensive tracking, auditing, and filing.
Payroll & Compliance Operations
- Support payroll accuracy through audits, reporting, ATG calculations, and weekly invoice processing in Coupa.
- Identify discrepancies promptly and ensure adherence to financial and regulatory requirements. Vendor & Contract Governance - Maintain oversight of Master Service Agreements (MSAs) and Statements of Work (SOWs) with recruiting partners.
- Track renewal timelines and ensure documentation remains current and aligned with organizational needs. Employee Relations Support - Serve as a trusted first point of contact for employee inquiries.
- Provide guidance on policies and workplace matters while upholding confidentiality and professionalism. ASSISTANT RETIREMENT BENEFITS - 40491 Qualifications 1. An associate degree or completion of 60 credits from an accredited college, including or supplemented by 9 credits in mathematics, statistics, accounting, and/or actuarial science; or
2. A four-year high school diploma or its educational equivalent and two years of satisfactory full-time experience performing mathematical, statistical, actuarial or accounting computations in one or more of the following: a) a retirement or employee benefits plan; b) customer service in a financial
institution; and/or c) in a position requiring the application of laws, rules and regulations and the use of statistical, actuarial or similar tables; or
3. A satisfactory combination of education and/or experience equivalent to "1" or "2" above. College education may be substituted for experience in "2" above on the basis that 30 semester credits from an accredited college may be substituted for each year of required experience. However, all candidates must posses a four-year high school diploma or its educational equivalent and either 9 semester credits
in mathematics, statistics, accounting and/or actuarial science from an accredited college or one year of experience as described in "2" above.
