Practice Manager - Specialty Practices

Description Under the general supervision of the Senior Director of Specialty & Ancillary Services, the Practice Manager is responsible for overall day‑to‑day management and supervision of the assigned practices. The position requires full understanding and participation in fulfilling the vision and mission of the Hospital. Financial Management, Planning & Reporting Ensures practice documentation is up to date to ensure timely submissions and revenue cycle integrity. Assists Director in preparing practice budgets in line with Hospital and Practice(s) objectives and guidelines. Monitors practices to keep them operating within budget and meeting productivity and operational goals. Monitors and processes accounts payables appropriately. Supervises and approves all practice staff and provider payroll. Services, Quality Improvement & Risk Management Ensures practice employees and providers deliver the highest level of customer service. Coordinates with all hospital departments to provide the best experience possible for internal and external customers. Responds to and resolves patient issues in a timely, professional, and friendly manner; follows procedures for patient dismissals or other concerns. Presents the practice(s) and Hospital positively at all times. Ensures compliance with Hospital policies, procedures, and regulations. Seeks opportunities for quality improvement in processes, services, operations, and clinical quality/outcomes. Supports and coordinates all practice and Hospital quality improvement efforts and reporting. Implements improvement initiatives in a timely fashion for the best interest of the practice(s). Operations, Technology & Facility Ensures technical equipment, computer systems, and facilities are adequate for patient care and meet desired goals for appearance, safety, and ease of function. Monitors repairs and improvements against plan. Ensures adherence to all policies, procedures, programs, protocols, and systems to provide efficient and accurate patient encounters; participates in development when necessary. Delegates and assigns tasks to optimize resources for provider, practice, and patient needs. Monitors task delegation to ensure timely completion within established procedures and safety conditions. Human Resources Verifies provider credentialing, privileges, and licenses with the Medical Staff Office. Ensures adequate staffing and training to provide quality service. Works with Director to identify staffing needs; participates in hiring and onboarding. Assists in developing staff to meet practice objectives. Conducts regular departmental meetings and communicates goals and updates. Schedules providers and staff to meet needs; may handle on‑call scheduling. Completes performance reviews, development plans, and coaching of staff. Collaborates with the Marketing team to promote service lines. Facilitates meet‑and‑greets with primary care practices. Leadership Capabilities Prepares and manages department budget. Demonstrates decisiveness and calculated risk‑taking. Leads by setting clear expectations and accountability. Managers relationships with key stakeholders. Develops and implements operational plan. Shows results‑oriented focus and perseverance. Adapts leadership style to context. Completes all annual evaluations on time. Organizational Expectations Attendance: arrives on time and completes scheduled shift. Maintains patient confidentiality under HIPAA. Communicates effectively to support team performance. Maintains appropriate interpersonal relationships with staff, patients, and visitors. Follows workplace safety practices daily. Employee Engagement Participates in hospital Service Excellence initiatives and trainings. Attends at least 50% of department staff meetings; signs off on 100% of meeting minutes. Completes required annual education on time. Knowledge, Skills and Abilities Minimal physical effort; occasional light lifting up to 25 pounds. Manages considerable mental stress. Expresses ideas verbally and writes clearly. Receives detailed information orally. Communicates with co‑workers concisely and accurately. Familiar with computers and other business machines. Qualifications College degree preferred with broad knowledge of the medical practice field. Three to five years in healthcare management or relevant training and experience preferred.
