Job Description:

We are seeking a personable, organized, and proactive Studio Concierge Specialist to support the daily operations of a premier beauty education studio. This role is ideal for someone who enjoys working with people, coordinating events, managing details, and contributing to a dynamic, creative environment.

The Studio Concierge Specialist will serve as a primary point of contact for guests and seminar participants while supporting registration, event coordination, reporting, inventory management, and social media content. The ideal candidate combines excellent customer service skills with strong organizational abilities, analytical thinking, and proficiency in Microsoft Excel and PowerPoint.

Key Responsibilities

• Customer Service & Guest Relations:
• • Respond to inquiries, provide information about studio programs and educational seminars, manage guest interactions, and deliver an exceptional customer experience.
• Registration & Administration:
• • Coordinate seminar registrations, process payments, maintain accurate attendance records, and manage confirmations, follow-up communications, and reporting.
• Event & Seminar Coordination:
• • Plan, prepare, and execute in-person and virtual seminars, including coordinating speakers and artists, arranging materials and refreshments, and recruiting and scheduling volunteer models.
• Virtual Program Support:
• • Coordinate virtual seminar logistics, communicate with presenters, prepare and ship educational kits, and help ensure a seamless participant experience.
• Reporting & Analytics:
• • Maintain monthly registration and revenue reports, track seminar financial performance, analyze data, and provide insights and recommendations for improvement.
• Inventory & Operations:
• • Monitor and maintain studio inventory, including educational materials, merchandise, products, and office supplies.
• Marketing & Social Media:
• • Capture content during live events and support studio visibility and engagement across social media platforms.
• Business Development:
• • Proactively promote relevant studio programs and merchandise to support registration goals, revenue targets, and customer loyalty.
• General Operations:
• • Manage multiple projects and administrative priorities while adapting to changing business needs and deadlines.

Required Qualifications

• Approximately 1–2 years of customer service experience, ideally in retail, hospitality, salon, concierge, beauty, or another customer-facing environment.
• Excellent verbal and written communication skills in English.
• Intermediate to advanced Microsoft Excel skills, including formulas and PivotTables; VLOOKUP experience is a plus.
• Proficiency in Microsoft PowerPoint and Microsoft 365.
• Familiarity with Apple devices and software, Zoom, and social media platforms, including Instagram, Facebook, and TikTok.
• Strong organizational, analytical, time-management, and multitasking skills, with exceptional attention to detail.
• Ability to analyze information, identify opportunities for improvement, and recommend practical solutions.
• A friendly, outgoing, professional, and service-oriented demeanor.
• Ability to work independently, take initiative, manage projects, and collaborate effectively with cross-functional teams.
• Flexibility to work occasional evenings and weekends as business needs require.

Preferred Qualifications

• Bachelor's degree or college education preferred.
• Previous experience in the beauty, salon, retail, hospitality, or event coordination industries.
• Experience with Shopify or similar e-commerce platforms.
• Experience coordinating events, seminars, appointments, or educational programs.
• Strong problem-solving skills, creative thinking, and the ability to balance big-picture objectives with day-to-day details.
