Program Assistant

This position will assist PI and program consultant in achieving all program deliverables. Tasks will include managing communication with program interns and applicants, organizing Excel tables, presenting information during team meetings, data collection and organization, and promoting program efforts.

Typically holds a high school diploma or GED. Requires no prior work experience.

Experience in a higher education, behavioral health, or public school setting. Familiarity with grant-funded programs, data management tools, and program coordination. Strong proficiency in Microsoft Excel and related data management software.

Knowledge of program coordination principles; strong organizational and time-management skills; proficiency in Microsoft Office Suite (Word, Excel, Outlook). Excellent written and verbal communication skills; ability to work independently and as part of a team; experience with data entry and management. Ability to present information clearly during meetings.

Provide timely and professional communication with program interns, applicants, and other stakeholders for the School Behavioral Health Consortium of the Carolinas, the John H. Magill School Mental Health Certificate program, and the Southeastern School Behavioral Health Conference. Respond to inquiries, coordinate correspondence, share relevant program and conference information, and track follow-up needs and deadlines. Maintain accurate, up-to-date contact records and communication databases to support organized program operations.

Organize and maintain Excel tables and databases to accurately track program data, participant information, and progress toward required deliverables for the School Behavioral Health Consortium of the Carolinas, the John H. Magill School Mental Health Certificate program, and the Southeastern School Behavioral Health Conference. Enter, update, and verify information; prepare reports and summaries as needed; and maintain organized records that are accessible to the program team.

Prepare and present program updates, data summaries, and other relevant information during team meetings for the School Behavioral Health Consortium of the Carolinas, the John H. Magill School Mental Health Certificate program, and the Southeastern School Behavioral Health Conference. Compile meeting materials, coordinate agendas and supporting documents, and communicate key information, action items, and follow-up needs among the PI, program consultant, and program stakeholders.

Perform data collection and organization to support program deliverables for the School Behavioral Health Consortium of the Carolinas, the John H. Magill School Mental Health Certificate program, and the Southeastern School Behavioral Health Conference. Compile, enter, review, and maintain program-related data and records in collaboration with the PI and program consultant, ensuring information is accurate, current, and readily accessible.

Promote the efforts, resources, and opportunities of the School Behavioral Health Consortium of the Carolinas and the John H. Magill School Mental Health Certificate program through coordinated outreach, communication, and dissemination of program information. Assist the PI and program consultant with activities that advance recruitment, participant engagement, stakeholder awareness, and completion of program deliverables.

Assist with general program coordination and organizational efforts for the School Behavioral Health Consortium of the Carolinas, the John H. Magill School Mental Health Certificate program, and the Southeastern School Behavioral Health Conference. Coordinate scheduling, maintain organized program documents and records, support administrative processes, and complete other assigned tasks in collaboration with the PI and program consultant.
