Creative Project Manager

Description

We are seeking a Creative Project Manager to support the graphic design team by owning project intake, maintaining visibility into timelines and resources, and ensuring work moves efficiently from request through completion.

Project Intake & Brief Validation

• Manage the design project intake form and review all incoming design tickets.
• Validate that each request includes the information needed for an effective design handoff, including:
• Finalized copy from copywriter
• In-context examples or references
• Bespoke photography or other required retailer assets
• Deal, offer, and promotional details
• Clear objectives, deliverables, and due dates
• Flag incomplete or unclear requests before they are assigned to design.
• Follow up with request stakeholders to collect missing details and ensure departments provide clear, actionable briefs.

Timeline & Deadline Management

• Monitor projects approaching their due dates.
• Confirm that the design team is actively progressing work and remains positioned to meet agreed deadlines.
• Track stakeholder feedback and ensure revisions or approvals are addressed in a timely manner.
• Work with stakeholders to adjust timelines when necessary, balancing business needs with the design team’s workload and production capacity.

Designer Bandwidth & Resource Planning

• Maintain visibility into the workload and availability of all designers.
• Identify potential bottlenecks, scheduling conflicts, or uneven task distribution.
• Recommend timeline adjustments and prioritization changes to prevent overloading the team and protect project quality.

Workflow, Status & Board Management

• Ensure task statuses are accurate, current, and consistently maintained.
• Follow up with stakeholders to close completed tasks or clarify next steps for inactive requests.
• Keep work organized across project boards by nesting or linking related requests under appropriate parent tasks.
• Help eliminate duplicate requests across boards and maintain a clear source of truth.

For example, CRM-related requests may appear on the Design Board, CRM Board, and Sales Calendar Board. The Project Manager should ensure these requests are properly connected, organized under an encompassing parent task when appropriate, and not managed as separate or duplicative projects.

Team Communication & Meetings

• Lead weekly project timeline meetings with the design team and relevant stakeholders.
• Review active projects, upcoming deadlines, bandwidth, priorities, and blockers.
• Surface potential deadline risks early and coordinate solutions with stakeholders and the design team.
• Maintain clear communication around project expectations, timeline changes, approvals, and ownership.

Requirements

• Asana: Expert in intake forms, workflow automations, and multi-homing tasks across cross-functional boards to prevent duplicate work.
• Figma: Comfortable managing review links for stakeholders.
• Canva: Experienced routing light-production requests.
• Brief & Asset Vetting: Intuitive quality control for incoming briefs, catching missing copy, assets, dimensions, or promo details prior to assignment. Light design workflow knowledge is ideal.
• Capacity Planning: Proven ability to monitor designer bandwidth, quantify project effort, and forecast reliable delivery schedules.
• Assertive Boundary Setting: Confident holding cross-functional teams to intake guidelines and diplomatically pushing back on incomplete briefs or unapproved rush requests.
• Cross-Team Translation: Skilled at converting broad commercial goals into concrete creative tasks and explaining design constraints to non-creatives.
• Negotiation & Prioritization: Adept at mediating competing stakeholder demands and negotiating timeline trade-offs when resources are stretched.
• Meeting Facilitation: Experienced in running concise, action-driven weekly syncs that quickly surface blockers and align priorities.
• Diplomatically Firm: Approachable and collaborative, yet completely steadfast when upholding deadlines, lead times, and process standards.
• Process-Minded & Organized: Thrives on operational order, maintaining pristine board hygiene and clear task dependencies.
• Protective of Creative Focus: Understands the creative workflow and actively shields designers from constant context-switching and unscheduled requests.
• Adaptable Under Pressure: Remains calm and solution-oriented when retail calendars, product launches, or commercial priorities shift abruptly.
• Experience working with cross functional teams to ensure deadlines get met - such as marketing, education and visual merchandising teams would be a plus.
• Prior experience with retailers - Sephora/ULTA would be a plus.
• Must be able to work onsite Monday - Friday at the ABH Studio located in Mar Vista, CA.

Anastasia Beverly Hills offers a competitive compensation package with full benefits and a 401(K) plan with matching contributions from the company. The starting salary rate for this position in the selected city is $85,000.00-$100,000.00. Compensation may vary outside of this range depending on several factors, including a candidate’s qualifications, skills, competencies, experience, and geographical location. Base pay is one part of the total compensation package that is provided to compensate and recognize employees for their work. This role is bonus eligible.
