Road & Rail Services is looking for a dependable and detail-oriented Administrative Assistant to support the day-to-day needs of our operation. This position is a good fit for someone who enjoys working with numbers, organizing information, maintaining accurate records, and helping a busy team stay on track.

This is more than a traditional clerical position. You will work closely with site management and corporate departments to help coordinate paperwork, payroll information, financial records, spreadsheets, scheduling, and other administrative functions that keep the operation running efficiently.

The ideal candidate has previous administrative experience, strong Excel and Microsoft Office skills, basic accounting knowledge, and the ability to manage multiple responsibilities while meeting deadlines.

What You'll Do

As an Administrative Assistant, your responsibilities may include:

  • Provide daily administrative and clerical support to site management
  • Enter, update, and maintain information in spreadsheets and company systems
  • Prepare, organize, review, and file company and customer documentation
  • Assist with payroll records, employee timekeeping information, and related paperwork
  • Maintain financial records and assist with basic accounting-related tasks
  • Perform data entry and data processing accurately and efficiently
  • Create and maintain Excel spreadsheets, reports, and tracking documents
  • Coordinate meetings, schedules, correspondence, and other office activities
  • Order and maintain office supplies as needed
  • Assist with special projects and administrative assignments
  • Help ensure required corporate paperwork is completed accurately and submitted by established deadlines
  • Communicate with management and other departments to resolve missing or incomplete information
  • Maintain organized electronic and physical records
  • Follow company, customer, and industry safety procedures
  • Maintain a clean and organized work area
  • Operate company or customer vehicles when required and authorized
What We're Looking For

Candidates should have:

  • At least 1 year of administrative or office experience
  • At least 1 year of experience using Microsoft Office programs
  • Strong working knowledge of Microsoft Excel and spreadsheets
  • Basic accounting or financial recordkeeping skills
  • Previous data entry or data processing experience
  • Ability to type at least 30 words per minute with minimal errors
  • Strong attention to detail and commitment to accuracy
  • Ability to organize and prioritize multiple assignments
  • Ability to meet deadlines in a fast-paced work environment
  • Professional written and verbal communication skills
  • Dependable attendance and a strong work ethic
  • Ability to work independently while also supporting a team
  • Experience with payroll, billing, invoicing, accounting support, or financial documentation is a plus.
Additional Requirements

A valid state driver's license must be maintained when operating company or customer vehicles or equipment as part of the position.

Candidates must also be able to meet applicable company Conditions of Employment requirements.
