JOB SUMMARY

Applies skills as a seasoned, experienced academic advisor to independently provide prescriptive advice on academic policies and procedures for the Art Department major requirements, and all aspects of course requirements for degree completion. Monitors student academic progress and assists students in making appropriate educational choices and decisions, and recommends solutions to progression and requirement issues. Conducts informational sessions and provides advice. Provides course approval and articulation agreement processing for the department. Manages and inputs course scheduling information for both the graduate and undergraduate programs, including sections. Works independently under general supervision.

Under the general supervision of the Department Manager, the incumbent has full programmatic responsibility for the independent administration of undergraduate academic advising for the Art Department, which currently consists of 12 permanent faculty, 30 visiting lecturers per year, 8 technical and clerical staff, and approximately 500 proposed art and undergraduate majors. The major functional areas of responsibility include undergraduate student advising, course scheduling for the graduate and undergraduate programs, curriculum support, and general administrative support.


APPOINTMENT INFORMATION

Budgeted Salary: $61,530 - $78,000 / annually. Salary commensurate with skills, qualifications and experience.
Under California law, the University of California, Santa Cruz is required to post a reasonable estimate of the compensation for this role. The salary shown above is the budgeted amount the University reasonably expects to pay and the salary extended should not exceed this posted amount.

JOB DUTIES

55% - Academic Advising

• Provides advice and assistance to students on all aspects of their academic experience, including progression and requirement matters for the department.
• Advises new and continuing instructors on departmental and university policies and procedures.
• Evaluates and advises students in petitions for exceptions to departmental requirements.
• Advises new and continuing instructors on student advising issues.
• Identifies students with GPA or progress problems, advises students, and recommends appropriate courses of action by the department.\
• Assists faculty on determining course scheduling needs for student progression to graduation.
• Advises on special eligibility requirements such as Honors programs / fellowships / scholarships.
• Confirms that students have met requirements for degree completion when there are no clear precedents or articulations, such as interdisciplinary programs or when transfer work is involved.
• Participates in planning academic curriculum in collaboration with chair and faculty, and with other departments, to ensure student's progress through course sequences, avoid conflicts, and ensure compliance with organization-wide policies.
• Determines barriers, distractions, and complications affecting a student's academic success, helps students recognize these key non-academic issues, and makes appropriate referrals for additional therapeutic counseling and / or assistance from other units.
• Advises students on a wide range of course possibilities and / or ways to complete degree requirements that may not be clearly defined.
• Provides major declaration workshops and review/advises students on plans, answers questions.
• Facilitates students' ability to resolve academic issues or concerns. Consults with faculty undergraduate directors when appropriate.

25% - Advising Administration

• Compiles and sends announcements to Art students using Slug Success.
• Monitors Canvas courses, declares students, and sends reminder emails to students who need to complete the course as necessary.
• Updates students' portals in AIS to reflect Major/Minor changes.
• Assists with student orientations including staffing orientation sessions and preparing presentation information and materials.
• Responds to View email address on click.appcast.io emails.
• Verifies completion of major requirements for students who have applied to graduate. May require follow up with students concerning missing requirements.
• Contacts graduating students quarterly with information about exit requirements, and coordinates with faculty to schedule exit interviews for students.
• Updates undergraduate advising information on department website.

15% - Scheduling

• Collects scheduling information from faculty for both graduate and undergraduate courses and sections.
• Serves on department Undergraduate Curriculum Committee, advising on scheduling matters to facilitate timely progression through the program for undergraduate majors.\
• Develops and manages schedule to accommodate graduate student TAship needs.
• Inputs all scheduling information into campus Coursedog system and makes updates as necessary.
• Reserves lab space for class sections.
• Coordinates large lecture requests for the department.
• Schedules all Summer Session courses that are held at Baskin Visual Arts.

5% - Course Proposals and Revisions

• Advises faculty on requirements for proposing and/or revising courses.
• In coordination with faculty, inputs course proposal and revision information and tracks progress.
• Researches appropriate course numbers for new courses.
• Advises faculty on impact of prerequisites for art majors.

REQUIRED QUALIFICATIONS

• Bachelor's degree in related area and / or equivalent experience / training.
• Demonstrated commitment to creating an inclusive community that fosters access, openness, and productive engagement for all.\
• Thorough knowledge of advising and counseling techniques.
• Demonstrated verbal and interpersonal communication skills with individuals and large groups from diverse backgrounds, including active listening.
• Demonstrated ability to exercise good judgment and discretion with confidential matters.
• Skills in judgment and decision-making.
• Abilities in problem identification, reasoning, and ability to develop original ideas to solve problems.
• Excellent writing skills.
• Ability to multi-task.

PREFERRED QUALIFICATIONS

• Thorough knowledge of multiple majors, colleges, and schools.\
• Thorough knowledge of department / school / college policies, procedures, and requirements.
• Familiarity with campus programs, administrative units, and range of student services.
• General knowledge of the UCSC campus.
• Ability to use Google Suite, AIS, InfoView.
• Ability to learn new technologies.

SPECIAL CONDITIONS OF EMPLOYMENT
