Position Summary

The Transport & Delivery Coordinator is responsible for managing and coordinating the movement Of recovered vehicles from HNS Recovery facilities to auctions, dealerships, clients, and other authorized destinations.

This role includes approving transport company scheduled appointments, scheduling deliveries for units requested by clients, managing communication With clients, auctions, and transport vendors, and ensuring all delivered units are properly released and documented through Slack and internal systems.

The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities in a fast paced environment While maintaining strong communication and accuracy.

Essential Duties & Responsibilities

Transportation Coordination & Scheduling

• Approve scheduled by transport companies to ensure accuracy and compliance With client requirements. • Schedule vehicle deliveries based on client requests for unit movement.

• Coordinate delivery appointments with transport companies, clients, auctions, and dealerships.

• Monitor daily delivery schedules to ensure timely movement of vehicles.

• Prioritize deliveries based on client deadlines and operational needs.

• Follow up on delayed, pending, or missed appointments.

Client, Auction & Transport Communication

• Respond to emails from clients, auctions, and transport companies in a timely and professional manner.

• Provide updates regarding delivery scheduling, appointment approvals, and status changes.

• Communicate dearly regarding delays, corrections, or scheduling adjustments.

• Maintain strong working relationships with all external partners and internal departments.

Slack Communication & Release Verification

• use Slack to coordinate and confirm that delivered units are propers' released.

• Ensure all release requirements are met before approving final vehicle release.

• Veri6'that units are only released to authorized transport companies or recipients.

• Confirm that all required dG„cumentation is completed and attached prior to release approval.

• Communicate release confirmations and issues through appropriate Slack channels.

Documentation & Compliance

• Veri6' Bills of Lading (BOLS) before approving any vehicle release.

• Ensure all required documentation is complete prior to transport.

• Confirm signed delivery receipts are received and properly uploaded.

• Verify time-stamped delivery photos are obtained when required.

• Maintain accurate and complete electronic records of all transportation activity.

System Maintenance

• update RDN and other internal systems with accurate delivery information.

• Record appointment approvals, scheduling and completion notes.

• upload all required documentation and delivery confirmations.

• Maintain accurate tracking of all active, pending, and completed transports.

Quality Assurance

• Ensure compliance with all client-specific transport and release requirements.

• Monitor aging or delayed deliveries and take corrective action when needed.

• Verify accuracy of all transportation documentation before final approval.

• Follow all HNS Recovery policies, procedures, and compliance standards.

Daily Responsibilities

• Review and respond to transport-related emails from clients, auctions, and transport companies.

• Approve or reject transport companrscheduled appointrnents as needed.

• Schedule delivery appointments for client-requested unit movements.

• Monitor and manage Slack communications for delivery release approvals.

• Confirm that delivered units are properly released and documented.

• Track pending, scheduled, and completed deliveries.

• Follow up on delayed or incomplete transports.

• Update RDN and internal systems With accurate Status information.

• Ensure all documentation and photos are uploaded correctly.

• Maintain an organized workflow and ensure all daily communications are addressed.

Qualifications

Required • High school diploma or equivalent.

• Strong organizational and time-management skills.

• Excellent written and verbal communication skills.

• High attention to detail and accuracy.

• Ability to manage multiple priorities in a fast paced environment.

• Proficiency with Microsoft Office and Workspace.

• Strong customer service and professional communication skills.

Preferred

• Experience in repossession, transportation, logistics, or automotive industries.

• Experience with RDN or similar repossession management software.

• Prior experience in dispatch, scheduling, or ctx.rdination roles.

• Familiarity with Slack or similar communication platforms.

Physical Requirements .

Ability to sit for extended periods While working on a computer.

Frequent use Of computer systems, email, and communication platforms.

Starting Pay: S16.OO per hour
