Position Overview

 

Rich Global is seeking an exceptionally organized, high-energy, and execution-focused Operations & Process Manager to keep priorities, projects, and processes organized and moving forward across Rich Global and its operating companies.

 

This is a hands-on execution and process management role. The successful candidate will turn priorities and meetings into assigned, trackable work; keep management systems current; resolve inefficiencies; and follow through until work is complete.

 

The Operations & Process Manager will be responsible for identifying practical ways to use and integrate AI to organize information, improve documentation, track work, and streamline recurring processes. The role also requires documented experience implementing AI-supported workflows and the judgment to apply approved tools effectively across the organization.

 

Priorities will shift frequently. The successful candidate must move comfortably between companies, departments, projects, and operational challenges while ensuring that nothing falls through the cracks.

 

Key Responsibilities

 

Meetings, Action Items, and Follow-Through

• Attend meetings; document decisions, action items, responsible owners, and deadlines; and distribute clear summaries promptly.
• Follow up consistently with employees, managers, consultants, and other responsible parties until assignments are completed.
• Verify completed work and escalate missed deadlines, unresolved assignments, and emerging risks when appropriate.

 

Project Tracking and Accountability

• Maintain master to-do lists, project trackers, priority lists, calendars, workflows, and recurring task schedules.
• Keep Monday.com boards, spreadsheets, dashboards, reports, and other tracking systems current.
• Establish clear owners, deadlines, deliverables, priorities, and dependencies.
• Give leadership concise, accurate updates on progress, delays, and unresolved matters.

 

Processes, SOPs, and Organizational Systems

• Develop, document, implement, and improve SOPs, checklists, controls, and recurring workflows.
• Organize files, records, templates, and shared information so employees can find and use current materials.
• Identify inefficient handoffs and improve coordination across accounting, legal, human resources, brokerage, operations, and other functions.
• Help implement new procedures, train employees, and monitor whether processes are followed consistently.

 

AI and Systems Improvement

• Lead the responsible adoption of ChatGPT Enterprise and other approved AI tools across Rich Global and its operating companies.
• Map existing workflows and identify opportunities for standardization, integration, automation, and AI-supported execution.
• Design and implement practical workflows connecting platforms such as Microsoft Teams, SharePoint, document repositories, HubSpot, Monday.com, and meeting or call-transcription systems.
• Develop AI-assisted processes for document review, summarization, comparison, research, drafting, meeting follow-up, and knowledge management.
• Create prompt libraries, operating procedures, templates, training resources, and quality-control standards.
• Establish appropriate human-review requirements and help ensure AI-generated work is accurate, confidential, secure, and properly approved.
• Assist with system permissions, document access, information governance, and data-management protocols.
• Configure and implement technology solutions when practical and coordinate with outside technical specialists when advanced development or integration support is required.
• Train employees and encourage consistent adoption of approved tools and workflows.

 

Problem Identification and Special Projects

• Identify stalled projects, inefficient processes, and organizational gaps; coordinate practical solutions and follow through on implementation.
• Own special projects that require organization, coordination, implementation, and sustained follow-through.
• Work directly within an operating company when needed to solve problems or complete critical initiatives.
• Support the launch and development of new business operations through planning, documentation, tracking, and execution.

 

Qualifications

• Demonstrated success in operations coordination, project management, process improvement, business administration, implementation, or a related field.
• Exceptional organization, attention to detail, responsiveness, and follow-through.
• Experience maintaining action-item lists, project trackers, deadlines, and accountability systems.
• Experience developing or improving SOPs, procedures, checklists, files, and recurring workflows.
• Proficiency with Monday.com or a similar project management platform and strong spreadsheet and reporting skills.
• Documented experience implementing AI-supported workflows in a business setting, including evaluating results and supporting employee adoption.
• Ability to manage numerous unrelated priorities without losing track of details or deadlines.
• Strong analytical, problem-solving, written, and verbal communication skills.
• Confidence working with employees, managers, executives, consultants, and outside partners.
• Sound judgment about when to resolve an issue independently and when to escalate it.
• Ability to learn unfamiliar industries, processes, and systems quickly and take ownership of assignments through completion.

Compensation and Benefits

• Annual base salary starting at $70,000, commensurate with experience and demonstrated capability.
