Payrate: 23/hr
Required Qualifications:
- Education: HS Diploma/GED
- Experience: Minimum knowledge of position's principles, techniques, practices and procedures, skills and prior experience required to perform the job. Includes: machinery, tools or equipment used; physical demands; unusual working conditions
- A working knowledge of medical practice systems and office computer technology (Microsoft Word, Excel, PowerPoint, Outlook)
Key Responsibilities:
- Schedules surgical and non-surgical
- Check out patients from the practice with follow scheduling procedures/testing up appointments, radiologic testing, and any additional consults requested by the provider.
- Schedule patients for surgery in a timely fashion, utilize block time efficiently, schedule pre op and specialty clearances.
- Ensures pre-operative clearances are obtained, fax all pertinent paperwork to the OR as well as give it to the provider for their review.
- Schedule all 1st post-operative appointments for all surgical cases scheduled.
- Ensure all tasks are completed or in progress by the end of the business day.
- Adhere to scheduling guidelines and NO SHOW/CANCELLATION policy set forth by the practice.
- All EHR tasking/quick notes are accurately documented and provided to appropriate parties in real time.
- Demonstrates knowledge of the scheduling software.
- Monitors physician schedules to ensure the rescheduling of office appointments to accommodate surgical bookings.
- Ensures full utilization of OR block time and communicates the release of time to the manager, as per the practice guidelines.
- Adheres to the OR scheduling escalation process set forth by the practice.
- Ensures proper communication to the provider and patient with complete and accurate information.
- Demonstrates effective interpersonal skills in developing relationships with internal and external customers.
- All patient phone calls are to be answered in a courteous and professional manner and/or returned by the end of the business day.
- All phone calls are to be answered within three rings.
- Adheres to practice policies and procedures.
- Maintains administrative and clinical calendars as assigned.
- Performs schedule changes and to open and/or close the schedules for assigned provider in the scheduling system.
- Picks up and delivers reports, forms, computer runs lab specimens, applications, messages, etc. as required.
- Prepares physician forms/applications including but not limited to, credentialing applications, etc. as required for physician signature.
- Ensure all guidelines for notifying billing of scheduled patient appointments are adhered to.
- Ensure all guidelines for notifying precertification specialist of scheduled procedures and surgeries are adhered to.
- Facilitate all radiologic and/or surgical procedure peer to peer requests between the appropriate practice staff and insurance company.
- Treat the people we serve as guests including, patients, co-workers, providers and all visitors.

- Confidential information handled with discretion and sensitivity.
- Flexible to work at multiple locations while multiple operations as needed.
- Reports malfunction of equipment to supervisor immediately.
- Displays courtesy, tact and diplomacy when dealing with staff, colleagues, superiors, patients, hospital visitors, vendors, representatives of other institutions and government regulatory agencies.
- Offers to assist those mentioned in "a" in attaining their goal(s) or completing their task(s) whenever possible, or, if unable, obtains appropriate assistance.
- Performance other related duties as required.
