Responsibilities

• Greet visitors, clients, and vendors with enthusiasm and professionalism, ensuring a warm and welcoming atmosphere
• Manage multi-line phone systems efficiently, directing calls accurately and courteously using proper phone etiquette
• Handle data entry tasks with precision, maintaining accurate records in various software platforms such as Microsoft Office, Google Workspace, and bookkeeping tools
• Support office management duties including filing, proofreading documents, calendar management, and organizing appointments or meetings
• Provide excellent customer support by addressing inquiries promptly and professionally both in person and via phone or email
• Assist with clerical tasks such as photocopying, faxing, mailing, and maintaining organized filing systems
• Utilize technical proficiency to operate office equipment effectively and troubleshoot basic issues as needed

Requirements

• Proven experience in office management or administrative roles, preferably as a front desk or medical/dental receptionist
• Strong computer literacy with proficiency in productivity software such as Microsoft Office Suite (Word, Excel), Google Workspace (Gmail, Calendar), and data entry applications
• Excellent organizational skills with the ability to prioritize tasks efficiently and manage time effectively
• Exceptional customer service skills combined with professional phone etiquette for handling multi-line phone systems
• Bilingual abilities are highly desirable to serve diverse client needs effectively
• Previous experience with QuickBooks or bookkeeping is a plus for managing financial records accurately
• Demonstrated clerical experience including filing, proofreading, calendar management, and document handling
• Personal assistant or medical receptionist experience is advantageous for understanding specialized workflows
• Ability to maintain confidentiality while managing sensitive information with integrity
