Client Success & Scheduling Coordinator

Description If you love organizing chaos, talking to people, and making things run like clockwork... this role is for you. If you avoid phone calls, hate details, or get overwhelmed easily-this won't work. Responsibilities This isn't a passive admin role. You're the person keeping the whole operation moving, and when something's off, you're the first to catch it. What You'll Own You own the install schedule completely. That means coordinating drop-offs, timelines, and pickups in a way that keeps the shop efficient, with no dead gaps, no overloaded days. When things shift, you adjust fast and keep everyone on the same page. You're also the first point of contact for customers. Answering calls, texts, and emails, setting clear expectations, and keeping people informed throughout their project. The goal is for every customer to feel like they're in good hands because they are. Internally, you're the glue between sales, design, production, and installation. You're moving jobs through every stage of the pipeline, following up with the team before things fall behind, and catching problems before they become customer issues. Everything stays tracked and up to date in the CRM, so nothing falls through the cracks. What Success Looks Like A schedule that stays full, jobs that move without delays, and customers who feel taken care of from first call to pickup. Qualifications • 2+ years in an operations, coordinator, or customer-facing admin role
• Exceptionally organized - you track details others miss
• Confident communicator on phone, text, and email
• Comfortable managing a busy schedule and reprioritizing on the fly
• Experience coordinating between multiple departments or teams
• Proficient with CRM or project management tools (Monday.com, GHL, or similar)
• Proactive by nature - you find problems before they escalate Bonus
• Background in trades, automotive, or service-based businesses
• Scheduling or dispatch experience
• Familiarity with wrap, print, or production workflows You'll Thrive Here If You
