Customer Service Representative

The Opportunity We are seeking a detail-oriented Customer Service Representative to join afast-paced customer support team. In this role, you will be the primary point of contact for wholesale distributors, independent sales representatives, and commercial clients. You will process purchase orders, assist with product cross-referencing, verify real-time inventory across regional fulfillment centers, track shipments, and resolve order discrepancies. Required Qualifications & Skills

• Experience: 2+ years of B2B customer service, order entry, or sales support experience, ideally within lighting, electrical supply, manufacturing, building products, or wholesale distribution.

• Data Entry & System Skills: High speed and accuracy in data entry. Proficiency with ERP systems (such as SAP, Oracle, NetSuite, or proprietary inventory databases) and Microsoft Office Suite (Word, Excel, Outlook).

• Communication Strengths: Professional written and verbal communication skills with a strong phone etiquette tailored to business clients and field representatives.

• Technical Aptitude: Ability to learn extensive product lines, part numbering schemes, and technical specifications quickly.

• Problem-Solving Ability: strong organizational skills, high attention to detail, and the ability to multitask in a fast-paced environment with tight shipping deadlines.

Responsibilities

• B2B Order Processing: Receive, review, and accurately enter high-volume purchase orders submitted via phone, email, electronic data interchange (EDI), and customer portals into the ERP system.

• Distributor & Sales Rep Support: Assist electrical distributors and field sales representatives with product availability, pricing verification, lead times, order tracking, and freight status across nationwide distribution centers.

• Product Knowledge & Cross-Referencing: Utilize internal catalogs and product databases to assist callers with part-number lookups, specifications (e.g., lumens, wattage, voltage, color temperature/CCT), and equivalent product cross-references.

• Returns & Claims Processing: Issue Return Merchandise Authorizations (RMAs), process freight claims for damaged or missing items, and coordinate credits with the accounting department.

• Shipment & Logistics Tracking: Partner with shipping, warehouse, and logistics teams to track order statuses, expedite urgent shipments, and resolve delivery delays.

• Customer Dispute Resolution: Investigate and resolve billing, shipping, or part discrepancies promptly while maintaining a professional, helpful demeanor.
