Overview

SOSi is seeking a Travel Coordinator to join our centralized travel team in Reston, Virginia, supporting domestic and overseas travel for our government customers and corporate leadership. The Travel Coordinator books and manages the full travel lifecycle, ensures compliance with U.S. Government travel regulations, and delivers responsive, high-standard support to travelers before, during, and after every trip. This is a shift-based role for a team that provides coverage from early morning to midnight, seven days a week, including weekends and holidays, with after-hours handover to our travel management company.

Essential Job Duties

• Schedule and book flights, hotel/billeting, and car rentals for domestic and overseas travel through the company booking platform (Egencia).

• Schedule required training tied to overseas deployments.

• Apply U.S. Government travel regulations (FTR, JTR, Fly America, GSA per diem, City Pair fares) to every booking and to traveler guidance.

• Apply knowledge of host nations to support country-specific travel requirements.

• Coordinate ground transportation and schedule vehicle pickup/drop-off.

• Assist in processing passports, visas, and other clearances.

• Process ticketing transactions, including reroutes, exchanges, and unused-ticket (UTT) tracking and credit application.

• Liaise with program managers on travel requirements and changing priorities.

• Keep accurate booking and documentation records in SharePoint.

• Communicate itineraries and travel updates to travelers and handle changes and disruptions in real time.

• Work start-of-shift and end-of-shift checklists and complete the Handover Log so every shift changes over cleanly.

• Handle inbound calls and travel incidents per the team's Telephone & Incident Call Handling Standard, log incidents in the Traveler Incident Log, and escalate by severity.

• Follow the team's Email Standards and Ready Mail Templates, including response-time windows for leadership travel.

• Support executives (White Glove) travel to the team's service standard when assigned.

Qualifications

Minimum Requirements

• High school diploma or equivalent is required.

• Minimum of two years of experience with U.S. Government travel regulations and overseas travel support.

• Strong working knowledge of all aspects of ticketing transactions, rerouting, and exchange processes.

• Available to work a shift-based schedule that includes weekends and holidays on a team providing extended-hours coverage.

• Detail-oriented, with strong organization, problem-solving, time-management, and written/verbal communication skills.

• Proficient in MS Office (Outlook, Excel, Word) and SharePoint.

Preferred Qualifications

• Experience with a corporate booking platform (Egencia, Engine) or a GDS.

• Prior experience supporting VIP or executive travel.

• Experience working to established travel SOPs and standards.

Work Environment

• Standard office environment with the possibility of a hybrid work schedule (three days on site in Reston, two days remote).

• Occasional travel to vendor locations or operational sites may be required.

• Flexibility to respond to travel disruptions or emergencies outside of normal business hours.
