Project Coordinator/Office Manager - West Palm Beach

CORE is seeking a Construction Project Coordinator/Office Manager for its West Palm Beach, Florida office. This individual will be responsible for coordinating project-related tasks for new and active CORE projects, as well as supporting the day-to-day operations of the West Palm Beach office. As Project Coordinator, this role will serve as a liaison between field and project management teams and will ensure that project files and information remain current, accurate, and organized. Office Management responsibilities include coordinating meetings, assisting Marketing with company events, ordering and maintaining office supplies, preparing leadership expense reports, and maintaining executive calendar. The ideal candidate will demonstrate the highest level of professionalism while remaining personable and service oriented. This position reports to the Senior Vice President of the West Palm Beach office and Employee Services. Pay will be commensurate with skills and experience. This is an exempt position under the Fair Labor Standards Act and the employee is not eligible for overtime compensation. Responsibilities Assist with submittals and RFIs. Assist with subcontractor change orders. Maintain records of fully executed subcontracts. Submit closeout documents to subcontractors, including warranty information. Assist the Senior Vice President with meeting scheduling. Prepare and submit the Senior Vice President’s expense reports through Concur. Support corporate meetings, events, and activities. Organize inventory, and secure office and marketing supplies. Provide support to office employees as needed. Perform other duties as assigned. Candidate Qualifications Professional degree in business or related field is preferred but not required. 3+ years’ experience in construction project coordination preferred. Reliable and timely with strong organizational skills. Works independently and as part of a departmental team in executing a variety of projects. Attention to detail and a proactive problem solver. Experience with Procore, Bluebeam and/or Concur is a plus! This is an in-person position at our office in West Palm Beach (NOT remote nor hybrid).
