Job Description
This contract role focuses on coordinating FAA certificate applications and supporting certification and compliance activities for regulated maintenance positions within an aviation program. You will schedule FAA interviews, verify employee qualifications and training, manage certification records, and ensure that all required documentation remains accurate, complete, and compliant. The position is ideal for an organized, detail-oriented professional who is comfortable working with regulated documentation and managing complex workflows in a highly regulated aviation environment.
Responsibilities
- Coordinate FAA certificate applications for employees in regulated maintenance roles and ensure all required documentation is submitted accurately and on time.
- Schedule and coordinate FAA interviews following employee certificate applications, including arranging times and confirming attendance.
- Verify employee identity, qualifications, training, and other required documentation to support FAA certification and compliance requirements.
- Manage and maintain repairman certificates and related employee certification records throughout their lifecycle.
- Ensure employees complete required training and maintain appropriate certifications before performing regulated maintenance work.
- Track certification workflows from application through completion and confirm that all required steps are completed accurately and within established timelines.
- Review documentation for accuracy, completeness, and compliance with established FAA and internal requirements.
- Validate paperwork and supporting documents for identity verification and training confirmation prior to FAA interviews.
- Monitor certificates throughout their lifecycle and handle certificate recovery or closure when employees leave regulated positions.
- Maintain organized records and documentation using tools such as Adobe Acrobat and records management systems.
- Support audit preparation by ensuring certification and compliance records are up to date, accurate, and easily retrievable.
- Partner with internal teams supporting aircraft maintenance, crew records, training, and drug and alcohol compliance to ensure alignment with regulatory requirements.
- Identify and recommend process improvements to enhance certification workflows, documentation practices, and overall compliance efficiency.
- Communicate effectively with stakeholders to provide status updates, clarify requirements, and resolve issues related to certification and documentation.
Essential Skills
- Experience supporting FAA certifications or working in a regulated aviation environment, with a strong understanding of FAA certification and aviation compliance requirements.
- Demonstrated experience in documentation and records management, including maintaining detailed, accurate compliance documents and records.
- Strong organizational skills with the ability to manage multiple concurrent certification workflows and meet deadlines.
- Proficiency in certificate tracking and records management systems to maintain and monitor certification status and documentation.
- Experience with regulatory compliance, including interpreting and applying regulatory requirements to certification and documentation processes.
- Ability to prepare for and support audits by maintaining accurate, complete, and well-organized records.
- Strong stakeholder communication skills, including the ability to coordinate with internal teams and external regulatory stakeholders.
- Proficiency with tools such as Adobe Acrobat for managing and organizing electronic documentation.
- High attention to detail and strong analytical skills to review documentation for accuracy, completeness, and compliance.
- Solid data entry skills with a focus on accuracy and consistency in compliance-related records.
Additional Skills & Qualifications
- Experience in program or project management, particularly in coordinating complex workflows and cross-functional activities.
- Background in workflow coordination and process improvement, including identifying opportunities to streamline certification and documentation processes.
- Familiarity with audit preparation and supporting regulatory inspections or reviews.
- Comfort working with regulated documentation and sensitive compliance records.
- Ability to work effectively in a structured, process-driven environment while managing changing priorities.
- Interest in or exposure to aviation maintenance operations, crew records, training, or related compliance functions.
- Availability to commit to a 6-month contract with potential for extension.
Work Environment
This is a fully onsite role based in Seattle, WA. You will work in a professional, highly regulated aviation environment that requires careful handling of compliance documentation and certification records. The position involves extensive use of digital tools, including Adobe Acrobat and records management systems, to manage and organize electronic documentation. The work is structured and deadline-driven, with frequent coordination across maintenance, crew records, training, and compliance teams. Standard professional attire is expected in this office-based setting, reflecting the formal nature of regulatory and certification activities. The contract duration is 6 months with the possibility of extension, offering stability while working closely with cross-functional stakeholders in a collaborative environment.

Pay and BenefitsThe pay range for this position is $40.00 - $43.00/hr.
Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
