Job Summary
Klapec Trucking Company is seeking a detail-oriented and organized Payroll & Accounting Specialist to join our team. This role is responsible for processing payroll accurately and on time while supporting day-to-day accounting operations, financial reporting, compliance while working closely with our IT Department. The ideal candidate has strong analytical skills, excellent attention to detail, and experience with payroll systems and accounting software. This position also plays an important role in maintaining the integrity of financial data, improving business processes through technology and system enhancements, and supporting the IT Department.
Key Responsibilities
- Process weekly payroll for drivers and office staff accurately and on schedule.
- Verify driver pay, mileage, detention, layover, bonuses, and deductions.
- Maintain employee payroll records and ensure compliance with federal, state, and local regulations.
- Calculate wages, overtime, bonuses, commissions, deductions, and benefits.
- Prepare and reconcile payroll reports and tax filings.
- Assist with accounts payable and accounts receivable functions.
- Perform bank reconciliations and maintain general ledger accounts.
- Prepare journal entries and assist with month-end and year-end closing processes.
- Support financial reporting, budgeting, forecasting, and management reporting.

- Ensure compliance with company policies and accounting standards.
- Respond to employee payroll inquiries in a timely and professional manner.
- Maintain confidentiality of financial and employee information.
- Utilize technology and accounting systems to maintain accurate financial records and improve operational efficiency.
- Generate, analyze, and distribute reports using Microsoft Dynamics GP, SSRS Reporting Services, Microsoft Excel, and other reporting tools.
- Assist with system maintenance, data validation, testing of software updates, and implementation of new accounting and payroll system enhancements.
- Collaborate with management and IT personnel to improve payroll, accounting, and reporting workflows through automation and process improvements.
- Ensure the accuracy, integrity, and security of payroll and financial data by following established internal controls and cybersecurity best practices.
- Maintain electronic financial records, document system procedures, and support audit requests.
- Troubleshoot payroll and accounting system issues, coordinate with software vendors when necessary, and assist users with system-related questions.
- Support Microsoft Office 365 applications, shared document management, and digital workflow initiatives.
- Ensure compliance with company policies, accounting standards, and data privacy requirements.
- Respond to employee payroll inquiries in a timely and professional manner.
- Maintain strict confidentiality of financial, payroll, and employee information.
Qualifications
- Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred.
- Minimum of two years of payroll and accounting experience.
- Knowledge of payroll laws, tax regulations, and accounting principles.
- Experience with payroll software and accounting systems.
- Experience with MS Dynamics Great Plains and SSRS Reporting would be a plus.
- Proficiency in Microsoft Excel and Microsoft Office Suite.
- Strong organizational, communication, and problem-solving skills.
- Excellent attention to detail and accuracy.
- Ability to manage multiple deadlines while maintaining accuracy.
- Familiarity with data imports/exports, report generation, system integrations, and financial database management is a plus.
- Understanding of cybersecurity best practices, data privacy, and internal financial controls.
- Experience in the trucking or transportation industry is strongly preferred.
