Adoption Partner Clerk
Under the supervision of the Manager of Animal Health & Community Engagement and the Adoption Partner Coordinator, the Adoption Partner Clerk plays a pivotal role in supporting nonprofit animal rescue organizations that partner with SEAACA to save as many animals as possible. The position responds to inquiries regarding shelter animals, Adoption Partner application status, and related matters by email, telephone, and in person. The Clerk also assists with documentation; processes adoptions, transfers, and fosters; performs animal releases; and prepares animals for pickup to help move them into positive outcomes as quickly as possible. The Adoption Partner Clerk provides professional, timely, and empathetic communication to rescues while proactively identifying potential rescue placement for animals. The position responds to requests, animal-related complaints, and inquiries; provides information and education regarding agency programs and services; assists with records requests; and performs related clerical, recordkeeping, and monetary-transaction duties.
Representative duties include:
- Provide professional and courteous customer service to Adoption Partners, rescue organizations, and the public to support the effective and efficient placement of animals.
- Review and process Adoption Partner applications accurately and promptly.
- Provide agency and general information to Adoption Partners, rescue organizations, and the public.
- Operate computers and applicable software to perform data entry and maintain records.
- Manage day-to-day communication and scheduling with Adoption Partners and rescue organizations.
- Generate and electronically distribute time-sensitive communications regarding the status of available animals.
- Prepare notes for available animals, including animal descriptions and documented medical or behavioral observations.
- Assist in preparing animals for departure, including coordinating with the veterinary team and preparing relevant documents.
- Help ensure the humane and compassionate treatment of all animals in SEAACA's care, including maintaining and caring for animals; monitoring animals for signs of illness, disease, or injury; and cleaning, disinfecting, and sanitizing cages and work areas.
- Process monetary transactions.

Minimum qualifications/examinations include:
- Must possess a high school diploma or a recognized high school equivalency credential, such as a GED, California High School Equivalency Certificate, or California Certificate of Proficiency.
- Ability to lift 50 pounds, demonstrated by a physical examination.
- Must pass a pre-employment physical examination and background check.
- Ability to pass a specified written test with a minimum score of 70%.
- Ability to use a computer keyboard accurately and efficiently.
- Demonstrates a competent work history and attendance record in good standing.
Knowledge and abilities include:
- Ability to maintain regular and reliable attendance.
- Comfort working in close proximity to and interacting daily with dogs and cats.
- Patience, professionalism, and compassion when assisting customers in emotionally charged situations.
- Knowledge of office practices and procedures, spelling, and business correspondence.
- Ability to communicate clearly and effectively, orally and in writing.
- Ability to understand and follow oral and written instructions.
- Ability to effectively operate standard radio and transmitting equipment, a multi-line telephone system, computers, and other office equipment.
- Knowledge of basic computer functions and applicable business and animal-services software.
- Ability to learn to identify animal species and breeds and recognize common behavioral traits.
- Skill in multitasking, coordinating simultaneous mental, manual and visual activities.
- Ability to work various hours, including evenings, weekends, and holidays.
- Ability to recognize the veterinarian-client-patient relationship and understand and observe the legal boundaries of veterinary health care.
- Ability to maintain professional, effective, and cooperative working relationships with city officials, members of the public, and fellow employees.
Physical classifications/essential job functions include:
- Ability to lift 50 pounds as demonstrated by a physical examination.
- Manual dexterity sufficient to prepare handwritten records and for computer data entry.
- Ability to read, write, and communicate effectively in person, by telephone, and by email.
- Ability to hear and determine the direction of sound, distinguish colors, and maintain balance.
- Must be able to tolerate loud animal noises and unpleasant odors.
- Potential exposure to aggressive or infected animals, animal waste and biological material, controlled substances, and contagious diseases.
- Potential handling, lifting, and carrying of large and small animals, supplies, and equipment weighing up to 50 pounds.
- On a continuous basis, sit at a desk for extended periods in front of a computer screen, with intermittent twisting to reach equipment or supplies. The position also requires prolonged or intermittent sitting, standing, walking, reaching, turning, kneeling, bending, squatting, and stooping while performing daily activities.
- The position requires grasping, repetitive hand movement, and fine coordination in retrieving and entering data using a computer keyboard.
- The position requires near and far vision to read work-related documents and use a computer, as well as hearing sufficient to provide telephone and in-person service.
- Ability to work indoors and outdoors.
- Prioritize safety for self and others while performing duties.
- Use proper methods to safely handle and restrain a wide variety of animals.
- Ability to maintain a professional demeanor with members of the public even when they express dissatisfaction and frustration.
