Remote Contract Specialist

Full-time Description Position Title: Contract Specialist Classification: Non-Exempt Location: Work From Home Office (use this address for calculating mileage - see remote work policy for more information) Department: Finance Reports to: Manager, Accounting Last Updated: January 2026 GENERAL EXPECTATIONS: Reporting to the Accounting Manager, the Accounting & Contract Specialist will be responsible for functions related to accounting and for coordinating the execution of contracts and related administrative tasks. S/he will serve as a liaison with contractors and will be responsible for tracking contract expirations. S/he will provide backup for the Procurement Coordinator in completing purchase orders as needed and offering support to the procurement process as directed by management. ESSENTIAL FUNCTIONS: Coordinates and prepares all contractual arrangements Prepares and facilitates Request for Proposals for services Maintains active contract status records and up to date contract files with all applicable documents Assists with audits by retrieving contracts as needed Enters Accounts Receivable receipts into accounting system Provides support for funding invoices, including assembling invoice documentation Prepares childcare enhancement and stipend payments/uploads for review by Accounting Manager. Payroll entry into accounting system Provides support for funding invoices, including assembling invoice documentation Assists with annual physical inventory of coalition assets. Other Duties as Assigned KNOWLEDGE AND SKILLS: Ability to communicate effectively with various people Knowledge of State of Florida purchasing practices Knowledge of accounting principles and software Proficiency in Microsoft Office EDUCATION AND EXPERIENCE: High school diploma required; Associate’s degree in a related field preferred State of Florida purchasing and/or contracting experience preferred ENVIRONMENTAL CONDITIONS: Primarily works in a home office setting, able to sit for an extended time. May be required to lift and/or move up to 30 pounds. Some travel for training and visibility events. Some nights and weekends for training and special events. OTHER REQUIRED DUTIES: There will also be other duties as the Coalition sees fit to help with the overall mission of the organization and to provide services based on state mandates and other requests.
