Client Service & Operations Associate

Dental Wealth Partners is a fee-only, fiduciary financial planning and wealth management firm built for dentists. As a registered investment advisor (RIA), we work with dentists and practice owners across the country on the full picture: investments, taxes, retirement plans, estate planning, and the value of the practice itself. Our job is to pull all of it into one plan the client can act on, and to manage the wealth their career provides. We don't sell products and we don't earn commissions. The firm has grown quickly over the past two years on the strength of a national speaking schedule at dental conferences, CE seminars, and study clubs, the Smiles & Cents podcast, and our founder's book, The Wealthy Dentist. The role Our advisory team spends its time with clients and in front of rooms full of dentists. This role is the person who makes sure every commitment made in those rooms gets done. You run the operations side of the firm. When anyone asks "where are we on this," you have the answer. This is not a secretarial or scheduling role, and it's not a sales role: no quotas, no commissions, no cold calls. It isn't an advisor or investment analyst role either. It's the role that turns the advisory team's work into finished outcomes for clients. The items you manage sit inside dental practice purchases, account transfers, and estate and tax decisions that can run into the millions. When you do it well, a dentist closes on the right practice, money lands where it was meant to, and the plan built for a client gets fully implemented. None of that happens on its own. Someone has to keep every piece moving for the advisory team and the clients we serve, and that is what this role does. What you'll own The client support inbox and main phone line Email triage for the advisory team: flagging what needs attention and making sure communication doesn't fall through the cracks Scheduling and confirming client meetings, and the follow-up afterward The CRM and task system: every deadline set, every task delegated and tracked through completion Client agreements and account paperwork: preparation, submission, and follow-through with the investment platforms and providers involved Collecting documents and information from new and existing clients Support for 401(k) administration, seminar logistics, and coordination with CPAs and attorneys Firm processes and documentation: keeping how we do things written down and current Who does well here You see things through. Nobody has to ask twice. When something isn't spelled out, you can figure it out, and you also know when it's time to ask for help. You communicate clearly, on the phone, in person, or in writing. You stay level when a lot is happening at once. You can adapt to advances in technology and put new tools to work as they arrive. You care about people and get real satisfaction from helping others succeed. What you do here reaches past the client on the account to their employees, their families, and the communities their practices serve. How this role grows You’ll learn how a fee-only RIA actually runs: investment account operations, client onboarding, plan implementation, 401(k) administration, and the systems behind all of it. The advisory team trains you, and the goal is for you to own your lane within the first 90 days. This role grows with the firm. As we add clients and services, the person in this seat takes on more responsibility, more decisions, and more of the firm’s day-to-day direction. We’ll ask where you want to be in three to five years and build toward it. Pay grows with responsibility and is reviewed annually. Preferred qualifications (not required) A degree in business, communications, or a related field; an MBA is a plus Prior experience at an RIA, bank, or other financial services firm (including accounting, insurance, payroll, or bookkeeping), or in an office manager or operations role at a dental, medical, or professional practice Experience running a CRM, scheduling system, or task-tracking tool An active Series 65 registration Licenses and training we’ll support Licenses and designations are sponsored by the firm when they fit the role: SIE, Series 65, and Enrolled Agent (EA) Role‑relevant courses, conferences, and seminars Compensation and schedule Salary range: $45,000 to $55,000, depending on experience. Candidates with client‑service experience at an RIA or similar firm will be considered at a higher level. Full‑time, Monday through Friday. Our days flex around client meetings and events, and work schedule changes are communicated in advance.
