Key Responsibilities
1. Clinical Supervision and Program Oversight
- Provide ongoing clinical supervision, leadership, and guidance to assigned LADC counselors and other applicable treatment staff.
- Oversee the delivery of ASAM 2.1 IOP and ASAM 1.0 outpatient treatment services.
- Ensure treatment services, documentation, and clinical practices comply with Minnesota DHS Chapter 245G and other applicable requirements.
- Monitor counselor performance, clinical responsibilities, and documentation quality.
- Provide constructive feedback and assist counselors in improving their clinical skills and professional development.
- Support program leadership in preparing for DHS licensing reviews, audits, and compliance inspections.
- Participate in clinical case consultations and assist counselors with complex client situations.
2. Counselor Training, Education, and Development
A major responsibility of this position is to provide hands-on training and ongoing education to counseling staff.
The Clinical Supervisor / Director will be expected to:
- Train counselors on proper clinical documentation, treatment planning, and progress note requirements.
- Provide educational materials, training resources, sample documentation, and practical examples to help counselors understand their responsibilities.
- Educate counselors on Minnesota DHS 245G requirements and applicable ASAM standards.
- Train counselors on comprehensive assessments, individual treatment plans, treatment plan reviews, group counseling notes, individual counseling notes, and discharge summaries.
- Provide clear instructions and demonstrations on how to complete documentation accurately, professionally, and within required timeframes.
- Conduct periodic training sessions and one-on-one coaching when necessary.
- Identify areas where counselors need improvement and provide additional education and guidance.
- Ensure newly hired counselors receive appropriate orientation and ongoing support.
We are looking for a supervisor who actively teaches and supports counselors, rather than simply identifying mistakes.
3. Clinical Documentation Review and Ritten EHR Oversight
Lifeline Care Center utilizes Ritten Electronic Health Records (EHR) for clinical documentation, client records, and treatment service management.
The Clinical Supervisor / Director will be responsible for:
- Routinely reviewing counselors' clinical notes, treatment plans, assessments, and other required documentation within Ritten.
- Identifying missing information, incomplete documentation, inconsistencies, or areas requiring correction.
- Providing specific feedback and clear instructions to counselors regarding necessary corrections.
- Making authorized corrections or amendments within Ritten when appropriate and permitted by program policy, professional responsibilities, and applicable documentation requirements.
- Advising counselors on how to revise or improve their own documentation while preserving accurate authorship and the integrity of the clinical record.
- Ensuring documentation accurately reflects the services provided and meets clinical, regulatory, and payer requirements.
- Monitoring timely completion of progress notes and other required records.
- Educating counselors on proper documentation practices to reduce repeated errors.
- Reviewing documentation practices that may affect billing accuracy, compliance, or reimbursement.
Ritten Software Training Provided: Prior experience with Ritten is not required. Lifeline Care Center will provide training and guidance on how our Ritten EHR system works, including navigation, documentation workflows, note review, and other program-specific functions.
4. Quality Assurance and Compliance
- Conduct routine quality assurance reviews of client records.
- Monitor compliance with applicable DHS 245G regulations and program policies.
- Ensure required clinical documentation is complete, accurate, and timely.
- Identify documentation deficiencies and develop corrective action plans when necessary.
- Assist with updating clinical procedures, staff training materials, and internal documentation standards.
- Support continuous improvement of treatment services and staff performance.
5. Clinical Leadership and Staff Support
- Maintain regular communication with program administration regarding clinical operations and staff needs.
- Serve as a resource for counselors seeking clinical guidance or clarification.
- Promote teamwork, accountability, and professional development.
- Assist in resolving clinical documentation concerns and improving treatment workflows.
- Help establish consistent documentation expectations across the program.
Minimum Qualifications
- Current, active Minnesota Licensed Alcohol and Drug Counselor (LADC) license in good standing.
- Must meet applicable Minnesota requirements to perform the assigned clinical supervision and program director duties.
- Previous experience providing clinical supervision, staff training, or leadership within an SUD treatment setting.
- Strong working knowledge of Minnesota DHS Chapter 245G regulations.
- Familiarity with ASAM Level 2.1 IOP and Level 1.0 outpatient treatment services.
- Experience reviewing clinical notes, treatment plans, comprehensive assessments, and discharge documentation.
- Ability to educate, train, and mentor counselors effectively.
- Strong communication, organizational, and problem-solving skills.
- Ability to provide constructive feedback and ensure staff accountability.
- Comfortable using electronic health record systems and learning new software.
Preferred Qualifications
- Previous experience as a Clinical Supervisor, Treatment Director, or Program Director in a Minnesota DHS-licensed 245G treatment facility.
- Experience preparing programs for DHS licensing reviews or audits.
- Knowledge of Medical Assistance and commercial insurance documentation requirements for SUD treatment.
- Experience developing staff training materials and conducting clinical documentation reviews.
- Experience working with culturally diverse and underserved communities.
