Position summary: The project coordinator will be dedicated to the creation, maintenance, and quality control of executive-level project collateral and presentations. This role will partner closely with the project management team to convert project information into clear, accurate, visually polished, and leadership-ready materials that support executive visibility, decision-making, and stakeholder alignment. This position primary focus is executive communication, presentation development, documentation consistency, and collateral governance.

Key responsibilities:

  • Executive collateral creation: Create executive-facing project materials, including status decks, steering committee presentations, leadership readouts, executive summaries, project one-pagers, milestone updates, and decision-support materials.
  • Presentation development and maintenance: Maintain recurring executive presentations by updating content, refreshing visuals, validating formatting, ensuring version control, and preparing materials for leadership meetings.
  • Document quality control: Ensure all executive collateral is accurate, consistent, visually polished, and aligned to established templates, messaging standards, and leadership communication expectations.
  • Content consolidation: Partner with project managers to gather project updates, risks, milestones, decisions, and key messages, then translate the information into concise, executive-ready content.
  • Collateral library management: Maintain organized repositories of executive decks, templates, project summaries, historical readouts, and supporting materials to ensure content can be easily accessed, reused, and updated.
  • Template and standards governance: Support the development and maintenance of standard templates, formatting guidelines, reporting structures, and presentation standards for project management collateral.
  • Meeting material preparation: Prepare and finalize materials for executive reviews, steering committees, portfolio updates, and stakeholder presentations, ensuring content is ready for distribution by required deadlines.
  • Continuous improvement: Identify opportunities to improve the clarity, consistency, visual quality, and efficiency of executive project collateral and presentation processes.

  • Executive communication: Strong written and visual communication skills with the ability to translate project details into concise, polished, leadership-ready materials.
  • Presentation development: Proficiency in creating clear, professional PowerPoint materials, including status decks, summary slides, dashboards, and executive readouts.
  • Organizational skills: Strong organizational and multitasking abilities, with keen attention to detail and the ability to manage multiple project updates, deadlines, and collateral requests.
  • Attention to detail: Demonstrated ability to ensure accuracy, consistency, formatting quality, and executive-level polish across project materials and documentation.
  • Collaboration: Ability to work effectively with project managers, business partners, and cross-functional stakeholders to gather inputs, validate information, and move deliverables forward.
  • Problem-solving: Strong problem-solving skills with the ability to identify information gaps, clarify open items, and propose practical solutions.
