Part-Time Events and Marketing Support Specialist

Location: Allentown, NJ – On-Site

Schedule: Approximately 25 hours per week, typically Monday–Friday. Anticipated hours are approximately 9:00 a.m.–2:00 p.m., with some flexibility based on candidate availability and departmental/event needs.

Position Summary

Allentown is seeking an organized, dependable, and detail-oriented Part-Time Events & Marketing Support Specialist to provide operational, logistical, and administrative support to the Marketing team. This hands-on role will primarily support a high volume of trade shows, meetings, customer and partner visits, and industry association activities, while also providing general administrative and project support across the Marketing Department as needed.

The ideal candidate is proactive, highly organized, comfortable managing multiple priorities, and willing to jump in wherever needed to help ensure events and Marketing activities run smoothly.

Key Responsibilities

• Support coordination and execution of trade shows, meetings, customer/partner visits, and other events, including registrations, exhibition services, food and beverage, travel, signage, displays, and event materials.
• Pull, pack, prepare, and coordinate shipments of trade show materials, literature, promotional items, branded apparel, and other Marketing assets; receive and organize returned materials.
• Maintain organized inventory and storage of event supplies, promotional items, literature, and Marketing assets.
• Assist with setup and cleanup for headquarters meetings, demonstrations, trainings, and customer/partner visits.
• Support industry association and branch activities, including participation details, sponsorship deliverables, company materials, and deadlines.
• Coordinate routine events needs with internal departments, associations, hotels, vendors, and other external partners.
• Assist with sales orders, invoices, event trackers, attendee information, shipping details, and other event-related documentation.
• Provide general Marketing administrative and project support, including data entry, document preparation, research, file organization, meeting coordination, fulfillment requests, and other departmental needs.
• Perform additional administrative and hands-on support as needed to help ensure efficient Marketing Department operations.

Qualifications

• Previous experience in events, marketing, administrative support, hospitality, or a related area preferred.
• Strong organizational skills and attention to detail.
• Ability to manage multiple tasks, deadlines, and changing priorities.
• Dependable, proactive, and able to work both independently and collaboratively.
• Strong written and verbal communication skills.
• Proficiency with Microsoft 365, including Teams, Outlook, Word, Excel, and PowerPoint.
• Comfortable performing both administrative and hands-on responsibilities.
• Ability to lift and move materials weighing up to 50 pounds.

This is an on-site position based at Allentown's Allentown, NJ headquarters due to the hands-on nature of the role.
