Patient Access Center Representative (PRN)

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Patient Access Center Representative (PRN) based in the United States.

This part-time PRN role serves as a key point of contact for patients navigating appointments and healthcare services.
You will manage scheduling, registration, insurance verification, and financial-clearance activities with accuracy and efficiency.
The position combines high-volume call center work with meaningful patient interaction and cross-functional coordination.
You will work closely with patients, physicians, clinical teams, and administrative partners to prevent delays and resolve scheduling or coverage issues.
Strong attention to detail and knowledge of healthcare processes will be essential to protecting both the patient experience and revenue-cycle outcomes.
The role begins with full-time, onsite training in Katy before transitioning to a work-from-home arrangement.

Accountabilities:

• Manage high-volume incoming calls and serve as a primary point of contact for new and established patients seeking appointments and services.
• Schedule primary care, specialty, ancillary, emergency, and other patient services accurately and efficiently according to established protocols.
• Complete patient registration and collect accurate demographic, insurance, guarantor, and clinical information required for scheduling and financial clearance.
• Verify insurance eligibility and benefits, follow applicable authorization and pre-certification procedures, and identify issues that could result in delays, cancellations, or reimbursement denials.
• Communicate professionally with patients, physicians, physician offices, clinical staff, hospital departments, and other internal stakeholders to coordinate appointments and resolve issues.
• Triage calls to appropriate departments while following approved scripts, workflows, scheduling policies, and management guidelines.
• Provide patients with relevant appointment preparation information and encourage appropriate use of the patient portal while maintaining HIPAA and privacy requirements.
• Process referrals received through electronic fax and email and coordinate urgent or same-day appointment requests when applicable.
• Maintain accurate documentation in electronic scheduling, registration, verification, and medical record systems.
• Act as a liaison between patients and clinical teams, keeping all relevant parties informed about actions taken, outstanding information, and issue resolution.
• Maintain established productivity, scheduling, service-quality, and call-management standards.
• Participate in quality reviews, audits, observations, and process-improvement initiatives, identifying opportunities to improve workflows and patient service.
• Apply critical thinking and healthcare knowledge to manage complex scheduling situations and accommodate appropriate patient or stakeholder requests.
• Work collaboratively with revenue-cycle teams and other departments to ensure complete and accurate information is available before patient visits.
• Protect patient confidentiality and consistently follow privacy, safety, compliance, and scheduling requirements.
• Contribute to a professional, welcoming customer-service environment and share knowledge and newly learned best practices with colleagues.

Requirements

• High school diploma or equivalent education required, including GED or recognized equivalent educational experience.
• At least 3 years of experience in a healthcare setting, call center, or customer service operations; successful completion of an applicable one-year call center apprenticeship may substitute for the experience requirement.
• Healthcare experience and strong knowledge of medical terminology are preferred.
• Demonstrated understanding of medical terminology, including diagnoses, operative procedures, and CPT codes.
• Knowledge of managed care and the ability to distinguish among insurance plan types such as PPO, POS, and HMO.
• Excellent telephone, verbal, written, interpersonal, spelling, and grammar skills.
• Ability to communicate effectively and professionally with patients, physicians, family members, and coworkers using positive and customer-focused language.
• Strong critical-thinking, problem-solving, organizational, and independent-judgment skills.
• Ability to manage multiple applications and websites simultaneously while maintaining accuracy and efficiency.
• Working knowledge of Windows-based PC environments, word processing applications, and basic Excel.
• Strong keyboarding and data-entry skills, with the ability to work consistently with computer systems throughout the shift.
• Ability to learn and follow detailed scheduling, registration, verification, privacy, and compliance procedures.
• Strong attention to detail and commitment to accurate patient and financial information.
• Ability to work effectively in a high-volume environment while maintaining professionalism and service quality.
• Business-professional attire is required.
• The position may require travel within the Houston metropolitan area.
• This is a PRN position without benefits and may be scheduled to support high call volumes, vacations, and employee leaves.
• Full-time onsite training in Katy is required before transitioning to remote work.
