Clinical Team Supervisor - Clinical Training

Job Description

The Mission of the Virginia Garcia Memorial Health Center is to provide high quality, comprehensive, and culturally appropriate primary health care to the communities of Washington and Yamhill counties with a special emphasis on migrant and seasonal farmworkers and others with barriers to receiving health care.

Job Summary The Clinical Team Supervisor (CTS) for the Clinical Training Team provides role-based training (~60% of the time), operational leadership (~20%), and direct supervision (~20%) to VGMHC's certified and uncertified Clinical Trainers for the primary care team (including but not limited to MAs, TAs and PCCs).

While providing operational leadership and supervision, the CTS for the Clinical Training Team serves as a trainer in their area of expertise or certification (i.e MA, TA, or PCC). Clinical Training Team members support clinical staff through education, training, and development of standardized workflows to provide the highest level of care, health education, and preventive services possible to patients.

As a direct supervisor and operations leader, the position collaborates with clinic site leadership, other service line leaders, and clinical directors to carry out quality assurance and quality improvement work and to maintain and improve care team standard work goals.

Essential Duties and Responsibilities:

  • Clinical Training (~60% of the time)
    • o Develop training curriculum for certified clinical training roles based on background and area of expertise (including but not limited to MAs, OHAs, PCCs, TAs).
    • o Work collaboratively with site management, the Medical Director, and the Director of Quality to identify staff training needs on an annual and individual basis.
    • o Elicit and incorporate feedback from staff and supervisors to improve educational programs, materials and resources.
    • o Deliver role-specific training to roles supported by this position to maintain high-quality patient care and achieve or improve quality metrics.
    • o Collaborate with other clinical training team members to ensure documentation of staff participation and completion of training programs, trainees' progress and achievements, and competency checkoffs.
    • o Develop educational programs as assigned, utilizing appropriate instructional procedures and training techniques to match the learner's style and meet the diverse needs of the adult learner, such as individualized training, self-study, instructor-led or computer-based training. Integrate VG's mission, vision, and values into staff training.
    • o In collaboration with supervisors, evaluate the proficiency levels of individual trainees' work to develop additional training plans as necessary to support staff in achieving skill competency.
    • o Assist team members with their work, serve in a backup capacity for clinical training team roles within the scope of training and/or certification.
    • o Other work as assigned or described in the appropriate Job Description (JD) for the corresponding area of certification or expertise (such as the MA trainer, PCC trainer, or TA Trainer JDs). JDs available upon request.
  • Supervision (~20% of the time)
    • o Direct supervision, coaching, development, and performance management of all certified and uncertified clinical training roles for primary care in collaboration with the Clinical Training Team Managerincluding MAs, PCCs, and TAs.
    • o Hold one-on-one meetings with each direct report at least monthly.
    • o In collaboration with team management, responsible for approval of employee time-off requests and schedules, timecards, and annual performance reviews.
    • o Support planning and facilitation of monthly team meetings & quarterly Quality meetings.
    • o Coordinate weekly team tiered huddles; Manage huddle board; escalate patient care quality and safety concerns identified through staff training and mentorship; and conduct close-loop communications at leadership team tiered huddle.
    • o Provide management oversight of the team's workflows and workload to facilitate meeting team targets and goals. Consistently monitor team performance and productivity using Key Performance Metrics (KPM) as a guide. Report on team productivity and KPMs monthly on the Board of Directors (BOD) report.
    • o Coordinate the hiring process for new clinical training staff and collaborate with the training team manager to recruit and hire for those roles as needed.
    • o Orient new clinical training members into their roles, including the development of training plans, assisted by the Organizational Development and the Quality Departments.
    • o Manage and address interpersonal dynamics and differences effectively; collaborate as needed with team management to resolve team member performance issues.
    • o Adhere to performance management expectations as provided through the progressive discipline process.
  • Leadership (~20% of the time)
    • o Attend medical huddles, leadership meetings, and other service-line meetings as assigned.
    • o Develop and maintain professional, service-oriented working relationships with all leadership and care team members.
    • o Support continuous improvement of systems through observation of training activities at clinic sites, attendance at clinical orientation and didactic training, coordination of surveys/evaluations to solicit feedback from attendees, and participation in C-Qual site and program audits.
    • o Collaborate with primary care Directors and other service line leaders to ensure that training requirements for credentialing and privileging are met.
    • o In collaboration with the Quality leadership team, promote and lead process improvement efforts through PDSA cycles, value stream mapping, and other lean methodologies.
    • o Work with team members to pull data reports; help to prioritize quality and access measures for the team to focus on.
    • o Support team to develop appropriate action plans regarding customer service, quality assurance, and compliance issues, collaborating with program, department, and senior leaders, when applicable (i.e. HR, Quality Assurance Manager, and Corporate Compliance Officer).
    • o Workforce Development/WFD
      • Collaborate with Workforce Development Program Manager to support WFD programs, including scheduling of skills days, purchasing of equipment, and other program needs.
      • Collaborate with clinical trainers to support clinical site visits and other activities organized for WFD students as needed.
      • Perform assigned project management responsibilities, as needed.
    • Perform other duties as assigned.
    • Handle protected health information (PHI) in a manner consistent with the Health Insurance Portability and Accountability Act of 1996 (HIPAA).

HIPAA Requirements:The Clinical Team Supervisor has access to PHI to create and maintain accurate and up-to-date medical records. Applying the minimum necessary standard of HIPAA, the designated record sets to which this employee will have access include: all sections of the medical record, patient demographic information in the practice management system, and incoming records, reports, results, consultations, etc. The CTS is required to read the content of these records only to the extent needed to accomplish the assigned task (e.g. filing or disclosure).

Knowledge, Skills and Abilities: Ability to self-manage and effectively manage workload. Sensitivity to the needs and situations of a multi-cultural population from a variety of income levels. Ability to work independently and as part of a team. Ability to flourish in a team management system. Excellent computer skills, including working knowledge of Microsoft Word, Excel and Outlook. Knowledge of EPIC is required. Excellent leadership and staff development skills. Experience with project management is helpful. Ability to work in a timely, accurate and detail-oriented manner. Effective organizational, time management and delegation skills. Ability to recognize problems, collect data, and establish facts. Able to use sound practical judgment to carry out written, oral, or diagram instructions. Ability to embrace change and innovation when appropriate. Knowledge of basic Lean principles. Able to read and interpret documents, communicate appropriately both verbally and in writing with impeccable spelling and grammar and speak publicly to groups of all sizes. Ability to effectively present information and respond to questions and requests from patients, coworkers and others as necessary. Ability to effectively communicate direction, instruction, and guidance to staff. Bilingual in Spanish/English preferred.

Education and Experience Required: High school diploma or general education degree required. AA/BA degree in a related healthcare field or two years of relevant healthcare experience preferred. Minimum one year of experience required as a clinical trainer providing role-specific education to medical team members. MA certification/accreditation required. 1-year supervisory experience is strongly preferred. Current and valid Basic Life Support Certification required. Must maintain current certification with a recognized provider.
