Secretary to Assistant Principals - High School LevelThe Secretary to Assistant Principal(s) provides secretarial support to ensure the smooth and efficient operations required of the school office.Essential Duties and Responsibilities:This list is intended to be illustrative rather than complete and serves to show major duties and responsibilities and does not express or imply that these are the only duties to be performed by the incumbent in this position. The employee will be required to be consistently at work and perform any other position-related duties requested by the supervisor.Communication Answers phones and emails in a timely and professional mannerComposes written and verbal correspondenceMaintains a customer service focus and welcoming demeanorDisseminates essential information to appropriate staff membersCommunicates with designated personnel regarding messages, emergencies, and time-sensitive mattersEstablishes, monitors, and maintains confidential files, records, and conversationsVisitors Controls access to the building, screens visitors, and directs guests to appropriate locationsSubstitute Management Oversees daily substitute management through the AESOP system, including generating required reportsMaintains teacher emergency plans and substitute filesCoordinates daily staff coverage needs, including 504 meetings, IEP meetings, parent conferences, traveling staff, athletics, and other absencesTransportation Serves as liaison for transportation matters, including parent concerns, alternate bus stop requests, and creation of new bus stops throughout the yearDiscipline Maintains discipline records in PowerSchoolPrepares discipline referrals and supporting documentation for parent notificationMaintains organized and confidential systems for discipline records storageTeacher Evaluation Monitors, tracks, schedules, and organizes teacher observationsSends required correspondence and documentation to Human Resources and/or designated administratorsAssessment & Scheduling Assists designated administrators with coordinating building assessmentsAssists designated administrators with course scheduling tasksTechnology & Office Support Demonstrates proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and related systemsPerforms other duties as assigned by administrationMinimum Qualifications:To successfully perform this position, a person must be able to perform each essential duty satisfactorily.
